POSITION SUMMARYThe Human Resources Coordinator is responsible for providing support to the Director, Human Resources and assists with the administration of the day-to-day operations of the Human Resources department. This role will have a pulse on the department and play a critical role in the development and execution of many human resources processes and programs.

  • KEY RESPONSIBILITIES1. AdministrationProvide general administrative support such as preparing correspondence regarding new hires and requests for letters of employment, forms and reports, coordinating and scheduling meetings/interviews/training sessions, and managing deadlines.
  • Prepare documentation needed for employees (e.g. effective changes in wage/salary, employment status, or benefits).
  • Update the organizational charts.
  • Enroll/remove employees into/from the benefits plans (e.g. group health plan, pension plan, etc.).
  • Coordinate the wage increase process for unionized employees.
  • Liaise with payroll to coordinate any relevant new and changing information (e.g. new hire documentation, leaves of absence, etc.).
  • Update and maintain employee records, files, correspondence, and reports.
  • Responsible for quarterly HR Metric Report and Dashboard.
  • Support departmental continuity by providing backup coverage for HR team members during planned and unplanned absences, as well as peak operational periods.
  • 2. Recruitment AssistanceAssist the Talent Acquisition Specialist (TAS) with conducting reference checks for candidates.
  • Monitor and complete recruitment and termination checklists.
  • Assist TAS with recruitment, new hire orientations and offboarding when required
  • Attend, coordinate and assist with external and internal career fairs
  • 3. Training and DevelopmentCoordinate training for the senior management and executive team.
  • Manage all first aid training for employees.
  • Coordinate the semi-annual mandatory training for all staff.
  • Prepare and conduct additional training as required.
  • 4. Employee RecognitionManage the employee recognition program.
  • Redesign and coordinate the years of service recognition program.
  • Coordinate employee appreciation events.
  • Assess and monitor employee engagement and satisfaction (e.g. conduct exit interviews, Worklife Pulse Survey, etc.) and provide recommendations for areas of opportunity improvement within the organization.
  • 5. Human Resources Information SystemUpdate and track first aid training information.
  • Make any necessary changes to employees’ status, personal information, etc.
  • Ensure all employee information is current.
  • 6. Committee Participation and CoordinationAct as the Health & Safety Coordinator for the organization.
  • Attend and actively participate in Joint Health & Safety Committee (JHSC) meetings, serving as a resource on health and safety matters.
  • Coordinate and collect monthly workplace inspection reports and ensure follow-up on identified hazards, concerns, and corrective actions.
  • Prepare, distribute, and maintain JHSC agendas, meeting materials, minutes, and action item tracking.
  • Support the organization's health and safety program through recordkeeping, reporting, and compliance-related activities.
  • Participate in the Employee Engagement & Wellness Committee, fostering employee participation and promoting a positive workplace culture.
  • Participate in the development and implementation of an annual Employee Engagement & Wellness Plan aligned with organizational priorities and employee feedback.
  • Coordinate and support engagement, recognition, wellness, and team-building initiatives that contribute to employee satisfaction, well-being, and organizational culture.
  • Monitor and evaluate engagement and wellness initiatives, providing recommendations for continuous improvement.
  • Collaborate with leaders, employees, and committee members to identify opportunities to enhance workplace engagement, wellness, and employee experience.
  • 7. OtherWork closely with the Director, Human Resources to keep them informed of any problems that may impact the achievement of organizational goals.
  • Respond to various queries from managers, employees, and external organizations.
  • Provide assistance to the Director, Human Resources with departmental projects and programs where required.
  • Conduct research, gathering metric data and statistical reports, and maintaining statistical information.
  • Keep current on legislative issues and matters in the organization related to the Human Resources department.
  • Build and maintain positive, collaborative relationships with employees, leaders, and stakeholders across the organization to support effective communication and service delivery.
  • Contribute to a culture of client safety and employee Health and Safety, by complying with all safety practices of the Organization, reporting unsafe practices and adverse events, and acting on safety recommendations.
  • Ensures compliance with all organizational policies, including but not limited to workplace conduct, health and safety, privacy, and workplace violence and harassment policies


  • QUALIFICATIONSMinimum of 1 to 3 years of human resources experience
  • Completion of a post-secondary school degree in Human Resources or a related field
  • Completion or working towards completion of valid HR designation (i.e., CHRP)
  • Knowledge of employment and related legislation (e.g. Occupational Health and Safety Act, Human Rights Code, AODA, and Workplace Safety and Insurance Act
  • Experience working with HRIS systems to manage employee data, streamline HR processes, and support reporting and analytics
  • Strong attention to detail and organizational skills
  • Excellent priority management and time management skills
  • Excellent verbal and written communication skills
  • Committed to diversity and equality culture
  • Ability to adhere to strict confidentiality
  • Ability to work well under pressure utilizing effective problem management skills
  • Proficiency in Microsoft Suite products including Excel
