Position Details: Human Resources Coordinator
Location: Torrance, CA Headquarters
Hours: Full Time, 40 hours per week
Compensation: $26.00 - $36.00 per hour, depending on experience

Job Summary:
The Human Resource Coordinator facilitates the human resource processes across the organization. This role provides administrative support for the human resource functions related to the entire employee’s life cycle, including managing the recruiting and hiring process, conducting tasks related to new hire onboarding and orientation, record-keeping, file maintenance, data entry, employee benefits and change notices, and exiting employees.
Essential Duties:
- Manages the HR administrative workload that supports the entire employee’s life cycle from hire to exit utilizing HRMS and other technology platforms.
- Assists with the recruitment and interview process, including posting job openings, gathering information from applicants, verifying prior employment and minimum qualifications, contacting references, and informing applicants of hiring decisions.
- Schedules meetings and interviews as requested by the managers and directors.
- Submits online investigation requests and assists with new-employee background checks.
- Welcomes new hires on their first day and performs HR-related orientation topics, training, etc.
- Completes Forms I-9, verifies I-9 documentation and maintains I-9 files.
- Creates and maintains employee personnel files as well as HR folders.
- Files documents into appropriate employee files, conducts file audits, and tracks compliance requirements.
- Tracks employee training compliance. Assigns training courses as directed.
- Administers health and welfare plans, including enrollments, changes, and terminations.
- Processes required documents for insurance benefits to ensure accurate record-keeping and proper deductions accounted for by payroll department.
- Processes required documents for any salary or employment data changes impacting employees.
- Responds to state unemployment, disability claims, and employment verification requests.
- In collaboration with management, creates job descriptions and ensures current descriptions are uploaded into HR folders and the HRMS.
- Continually update current job salary bands to accurately reflect the current market, and maintain proper backup.
- In collaboration with the external HR Consultant, manages employee leaves of absence, workplace injuries, and workers’ compensation claims.
- In collaboration with the external HR Consultant, maintains and updates HR policies and procedures and the Employee Handbook.
- In collaboration with the external HR Consultant, keeps abreast of labor laws for each state OKSI is located in.
- In collaboration with the external HR Consultant, keeps Leadership abreast of HR practices, procedures, and the latest trends to remain competitive in the labor market.
- In collaboration with the external HR Consultant, trains managers on HR processes and ensures consistency across the organization.
- In collaboration with the external HR Consultant, educates managers on labor law topics and areas of non-compliance.
- Performs customer service functions by answering employee requests and questions.
- Conducts audits of payroll, benefits, or other HR programs and recommends corrective action.
- In collaboration with management, assists with processing grievances, absences, performance improvement plans, and terminations. Seeking counsel from the external HR Consultant on high-risk situations.
- Assists with the preparation of the performance review process ensuring reviews are done timely.
- Assists with company event planning and coordination.
- Makes photocopies; mails, scans, and emails documents; and performs other clerical functions.
- Assists or prepares correspondence as requested.
- Maintains the highest level of confidentiality, safeguarding private HR data under all circumstances.
- Works independently and productively while maintaining open communication with others.
- Delivers honest and reliable communication with all individuals with whom they interact.
- Effectively manages time to avoid backtracking and delay of tasks.
- Consistently contributes to a safe and positive work environment, abiding by the policies and following procedures at all times.
- Maintains regular attendance and timeliness.
Knowledge, skills and qualifications:
- AA required. Bachelor’s Degree preferred.
- A minimum of three years of related experience required.
- Must pass criminal background screening.
- Excellent interpersonal and customer service skills.
- Excellent verbal and written communication skills; detail-oriented and organized.
- Proficient in Microsoft Office Suite or related software.
- HRMS experience required; Paychex Flex and Ease experience highly preferred.
- Knowledge of human resource principles, practices, and procedures.
- Knowledge of office procedures, business mathematics application, computer office equipment and procedures.
- Knowledge of principles and procedures of record keeping, reporting, and filing systems.
- Knowledge of principles and practices of applicable Federal, State, and local laws.
- Possess reasoning and problem-solving skills, with emphasis on seeking solutions.
- Ability and desire to multitask and prioritize multiple duties and deadlines in a fast-paced work environment.
- Be reliable, honest, and uphold the highest confidentiality standards.
