Job Title: Human Resources & Finance ClerkLocation: Central OfficeDepartment: Business Reports to: Director of Human Resources and Director of FinanceSubordinates: NoneSalary: $21.63 $26.44 Per Hour, Based On ExperienceJob Overview: Abby Kelley Foster Charter Public Schools is seeking a highly motivated, detail-oriented person to join the Human Resources and Finance Teams at Abby Kelley Foster Charter School. The Human Resources & Finance Clerk will be responsible for supporting the day-to-day functions of two critical departments. Tasks will include: payroll processing; produce letters of hire, stipends, and leaves; respond to employee questions related to payroll, benefits, and PFML/ LOA. Additionally, this role will also work to support financial functions at our public charter school, including maintaining vendor and employee requests, production of written reports, and compiling requests for successful audit completion.
The ideal candidate has strong attention to detail, knowledge of Human Resources and Finance, a customer service mindset, the ability to maintain confidentiality in a school environment, and eagerness to learn quickly.This role is highly visible within the District, requiring the candidate to interact with a wide variety of stakeholders, including administrators, staff, and potential candidates. This role has a high expectation of performing independently with professional excellence, discretion, and confidentiality.This job description outlines the core duties and responsibilities for the position. The ideal candidate should be flexible and adaptable in meeting the evolving needs of the District.Key Responsibilities: Payroll SupportProcess biweekly payroll for all staff, ensuring accuracy and compliance with federal, state, and local laws.Maintain payroll records and documentation in accordance with audit requirements.Review and verify employee timesheets, leave accruals, and attendance data.Collaborate with HR to ensure accurate onboarding and termination data.Review deductions (e.g., benefits, retirement, garnishments) and direct deposits.Reconcile payroll reports and assist with year-end tax forms, including W-2s.Respond to payroll inquiries from staff and resolve discrepancies promptly.Review and update employee records, ensuring compliance with state and federal regulations.Conduct background checks and support employment verifications.Human Resources SupportPreparation of HR documents such as at-will agreements, offer letters, stipends, and other forms.Respond to basic HR inquiries regarding policies, benefits, and procedures.Support the onboarding process for new hires, including assembling job postings, welcome packets, offer letters, at-will agreements, and tracking required documents (ex.
I-9s, CORI/SORI background checks).Prepare offboarding materials and assist with the return of school-issued equipment and exit documentation.Enter and maintain accurate employee data in HRIS (JIRA) /payroll (ADP) systems.Track staff licensure, certifications, and training deadlines.Generate basic HR reports as requested by HR leadership.Assist with compliance-related tracking such as annual training completions, staff health documentation, and fingerprinting records.Support audits by organizing and retrieving requested personnel documents.Ensure that all HR files (digital and paper) are properly maintained and compliant with record retention standards.Accounting SupportAssist with resolving outstanding questions or discrepancies related to open purchase orders and unpaid invoices.Help maintain accurate financial records and documentation for audits.Maintain vendor files and respond to inquiries in a timely, professional manner.Assist the Director of Finance with closing financials at the end of each month and in generating reports.Support internal and external audits by providing necessary documentation and information.Perform general office duties including filing and data entry.Qualifications: Associates degree in Human Resources, Accounting, Business Administration, or a related field; Bachelors degree preferred.Preferred minimum of 2 years of experience in HR and/or accounting roles, preferably within an educational setting.Strong knowledge of HR practices, HRIS systems (e.g. JIRA), and accounting principles a plusProficiency in Microsoft Office Suite; Excel is necessary; Google Suite, experience with HRIS, ADP, and accounting software is a plus.Excellent organizational skills and attention to detail is crucial to this roleAbility to handle sensitive information with confidentiality and professionalism.Strong communication and interpersonal skills.Ability to prioritize and handle multiple tasks efficiently and with accuracy.Bilingual preferred.Additional Requirements: Background check and fingerprinting as required by Massachusetts state regulations.Ability to work independently and as part of a team.Must be able to lift, move, or assist students when necessary.Completion of any required professional development or certifications as mandated by the District.Work Environment: The work environment is typically in an office or school setting. Remote work opportunities are limited and require approval.Travel between school buildings required.The role may require lifting (up to 50 lbs.), carrying, and ability to use office equipment.
