REQUIREMENTS:

  • Language: English (spoken and written) and French is an asset.
  • Education: Post-secondary education in Human Resources or a related field.
  • Certified Human Resources Professional designation is an asset.
  • 2-5 years experience in Human Resources / Labour Relations.
  • Excellent leadership qualities and team management abilities.
  • Excellent computer skills with proficiency in Microsoft Office Suite.
Responsibilities
  • Employee Relations:
  • Manage internal and external communications for the Kapuskasing site keeping employees and the public informed about Kap Paper Inc. in a way that is accurate, factual, and consistent, and reflects positively on the corporate image.
  • Support compliance with the collective agreements and sound union / management / employee relations.
  • Provide site management with labour relations expertise and counsel aligned with business, production, and workforce objectives.
  • Coach site managers, supervisors, and union representatives to work as partners with complementary roles.
  • Maintain a communications program to inform, motivate and engage all concerned.
  • Partner with Human Resources staff to align all projects.
  • Participate in Labour Relations meetings.
  • Understand fully the collective agreement, communicate its essentials to ensure correct interpretation, and monitor operations to ensure consistent application.
  • Ensure compliance with applicable workforce legislation and regulations.
  • Serve as the company’s representative on various joint committees.
  • Support the recruitment process as required.
  • Labour Relations:
  • Serve as a point of contact for employee inquiries regarding HR policies, benefits, payroll, and general workplace concerns.
  • Promote and maintain the EFAP to employees.
  • Stay informed on all developments related to labour relations and make recommendations to advance the site’s interests.
  • Assist in resolving employee issues or conflict by providing guidance.
  • Support staff and unionized employees.
  • Support compliance with collective agreement and sound union, management, and employee relations.
  • Provide consistent interpretation and council for the collective agreement’s application in alignment with business priorities and objectives.
  • Foster a positive organizational culture by promoting employee engagement and morale.
  • Meeting with Union, maintain grievance logs and maintain service point of contact for Step 1 meetings.
  • Work alongside the various union’s at Kap Paper Inc. regarding their scheduling needs. i.e. Office worker spare list, Local 89 spare list, and local 256 Spare List.
  • Administer the vacation blocks with the according departments in the papermill.
  • Support management and supervisors in administration of grievance procedures, disciplinary matters, and letters of understanding. Etc.
  • Manage all aspects of the compensation support system for non-union salaried employees and unionized office employees at Kap Paper Inc. in accordance with corporate compensation policies and guidelines, the Labour Agreement, and in line with the Ontario Pay Equity legislation.
  • Compliance and Policy Administration:
  • Ensure compliance with local, provincial, and federal labour laws and regulations.
  • Assist with the development, implementation, and communication of HR policies and procedures.
  • Support the development and delivery of training programs for employees and managers on various topics.
  • Send out memorandum’s pertaining to senior managements announcements.
  • Support the human resources manager, when needed.
  • Collect/analyze data to identify trends and target improvements.
  • Report systematically on trends, results, and project status.
  • Create, and collaborate with the appropriate dept. for vacation eligibility sheets.
  • Administer and maintain the disciplinary database.
  • Configure policies and procedures from prior to Spin Out to reflect current company standards.

Administer Apprenticeship program:

  • Administer apprenticeship programs and support and take part in the Apprenticeship Advisory Committee for the Electrical, Mechanical and Steam departments.
  • Ensuring the apprenticeship program meets industry standards, and company goals.
  • Ensure the apprenticeship program complies with labour laws, industry standards and requirements.
  • Maintain accurate records of apprentice progress, including hours, assessments, and/or certifications.
  • Handle necessary paperwork for certifications, accreditations related to the apprenticeship program.
  • Provide support to apprentices – addressing any performance issues, or additional training or support when applicable.
  • Gather feedback for continuous improvement and identify areas of improvement.
  • Administer Attendance Management Program:
  • Address a clear attendance policy and guideline that define expectations for punctuality, absenteeism and time off (ex: sick leave, vacation, personal).
  • Monitor patterns in attendance such as frequent tardiness, absenteeism, misuse of leave.
  • Conduct the proper sequence of steps when an employee is absent from work for a period.
  • Handle employee concerns related to attendance such as medical leave, family emergencies, or other personal issues.
  • Administer the Absenteeism program, to ensure proper manpower levels.
  • Generate bi-weekly reports and collaborate with management team on timely meetings and report out trends to HR Manager.
  • Generate monthly manpower reports – including but not limited to manpower, absenteeism, inactivity, life claims, departmental openings.

HR Projects:

  • Participate in special HR projects (surveys, performance reviews, wellness programs or as directed by HR Manager).
  • Contribute to the continuous improvement of HR processes – recommending improvements when necessary.
  • Assist with performance management processes, including goal setting, reviews, and development plans.
  • Contribute to the site Human Resources team as a well-rounded human resource professional and participate in special projects as assigned.
