Description The Human Resources (HR) Coordinator provides day-to-day administrative and operational support to the Human Resources Manager and plays a key role in ensuring the smooth and efficient functioning of HR processes across the organization. This position assists in all areas of human resources, including recruiting, onboarding, compliance, benefits administration, employee engagement, and HR systems management. The HR Coordinator also helps foster internal communication by crafting and distributing the weekly HR newsletter and supporting initiatives that enhance employee experience, engagement, and connection across all departments. The HR Coordinator acts as a professional representative of the HR department, maintaining the highest standards of confidentiality and accuracy in all work performed. This position will also serve in an Administrative Assistant capacity, supporting the Winchester Cardiology Management Team with administrative tasks spanning several departments. Essential Duties and Responsibilities Recruiting & Onboarding Manage the full recruitment life cycle, including job postings, candidate sourcing, application review, and interview coordination. Conduct candidate screenings and provide consistent communication to ensure a positive candidate experience. Complete new hire paperwork, I-9 verification, and initiate background checks. Coordinate new hire orientation and ensure all pre-employment and onboarding documentation is completed accurately. HR Operations & Compliance Maintain employee records and data within the HRIS system, ensuring accuracy and confidentiality. Collaborate with IT to facilitate system access setup and removal for new hires and terminations. Maintain compliance tracking for licensure, certifications, vaccinations, and training requirements. Assist with HR, payroll, and benefits audits and ensure compliance with internal policies and labor laws. Support termination processing, corrective action documentation, and exit interviews. Support the administration of employee leaves of absence (LOA/FMLA) and related documentation. Participate in monthly HR webinars and continuing education opportunities to stay informed of changes in employment laws, HR best practices, and industry trends. Support the formulation and implementation of effective HR management practices and policies. Benefits & Payroll Support Assist with daily employee benefits administration, including enrollments, changes, and COBRA processing. Conduct benefits orientation sessions for new hires and support open enrollment processes. Maintain EDI feeds and data exchanges between HRIS and benefit vendors. Provide payroll preparation support, ensuring all changes are accurately processed in a timely manner. Engagement & Employee Relations Support HR-led employee engagement, recognition, and team-building events, including Spirit Weeks, appreciation days, and department celebrations. Craft, edit, and distribute the weekly HR Internal Newsletter, highlighting new hires, benefits updates, upcoming events, birthdays, and important HR reminders. Conduct 30-, 60-, and 90-day check-ins with new hires to ensure smooth onboarding and retention. Assist with employee surveys, recognition initiatives, and internal communications campaigns. Administrative Support Schedule and coordinate meetings for the Administrative Team, including preparing agendas and booking conference rooms. Maintain administrative calendars and track events, meetings, and project timelines. Provide meeting support, including minute-taking, distribution of notes, and action item follow-up. Coordinate office supply orders and maintain inventory. Monitor, filter, and distribute incoming mail; acting as a courier as needed. Update and maintain administrative forms using Microsoft Office Suite and Adobe Acrobat. Assist with marketing communications and supply orders related to company initiatives. Manage holiday signage, closure notices, and employee communication boards. Submit and track maintenance and IT service tickets. Initiate and manage spreadsheets and trackers for ongoing projects and expense reporting. Provide support for medical certification class scheduling and coordination. Serve as vendor liaison for administrative office needs. Assist with additional administrative tasks and special projects assigned to support the needs of the management team. Qualifications High school diploma required; Associate’s or Bachelor's degree in Human Resources, Business Administration, or related field preferred. 1-3 years of experience in Human Resources, recruiting, or administrative support preferred. Strong proficiency in Microsoft Office software, including Excel and PowerPoint. Knowledge of HR best practices, compliance, and employment laws preferred. Proficiency in HRIS systems and applicant tracking systems. Excellent interpersonal, communication, and organizational skills. Self-starter with the ability to take initiative, manage multiple priorities, and work independently in a fast-paced environment. Ability to handle sensitive and confidential information with discretion. Strong attention to detail and commitment to accuracy.
