Description This position serves a dual role with human resources (HR) and office management responsibilities. The HR function is responsible for the execution of HR policies for the entire firm, as well as the development of uniform HR procedures. The office management function is responsible for smooth office operations, including oversight of the legal assistant workforce, office services function and records management function. Core Functions: Manage the Assistant Office Manager, Office Services Coordinator, Records Coordinator, 2 paralegals and indirectly manage, with the help of an Assistant Manager, all legal assistants. Oversee the day-to-day office administrative operations of the firm, ensuring a well-functioning and efficient office environment. Oversee appropriate staffing levels to ensure that the support needs of attorneys, management and clients are being met, including finding coverage when needed. Implement measures to ensure professional and well-organized office spaces. Serve as a liaison and contact person to building management and monitor building maintenance for three locations. Lead all office space planning and facilities initiatives, including office moves and remodels. Manage and resolve employee relations questions and concerns. Conduct investigations, manage protected leave requests and manage accommodation requests. Update HR policies, draft termination letters, manage performance reviews, conduct exit interviews and draft job postings. Manage candidate screening, interviewing, legally compliant background check procedures, offer documentation and onboarding. Set performance standards, conduct evaluations and provide constructive and timely feedback for direct reports and legal assistants. Oversee compensation strategies and structures, identify labor cost savings and manage HRIS system (currently Paylocity). Generate and summarize HR related reports as requested by management, including total compensation statements. Collaborate with payroll to ensure accurate and timely processing of payroll, including verifying timecards and managing leaves/PTO requests. Plan and/or assist in planning firm sponsored events. Perform other related duties as required or assigned. Required Skills/Abilities: Strong analytical, problem solving, verbal and written communication skills. Excellent time management / project management skills. Highly organized with an attention to detail. Proficient with Microsoft Office Suite. Ability to maintain confidentiality, and to exercise discretion, sensitivity and good judgment. Highest level of professionalism. Knowledge of HR compliance including labor laws in Rhode Island and Massachusetts. Education and Experience: Prior human resources, office management and supervisory experience. Managing HRIS (preferably Paylocity) experience. HR degree and/or HR certification preferred. Physical Requirements: Daily presence in Providence Office and occasional presence in Boston and New Bedford required.
