JOB DESCRIPTION

The Onboarding Specialist will be responsible for ensuring a seamless, engaging, and efficient onboarding experience for new hires. You’ll be the first point of contact for new employees, helping them feel welcome, informed, and set up for success from day one. This position will also cover front desk reception, office admin tasks and booking lodging and travel for our installation crews.

REQUIREMENTS

  • As least one (1) year experience in HR and onboarding.
  • Bachelor’s degree in Human Resources, Business Administration preferred
  • Familiarity with employee engagement and retention strategies preferred
  • Excellent communication and interpersonal skills.
  • Highly organized with strong attention to detail.
  • Proficiency in Microsoft Office and experience with HR software
  • Ability to manage multiple tasks in a fast-paced environment.
  • Ability to use discretion to protect sensitive employee data, make unbiased choices, and build trust, all while maintaining confidentiality and demonstrating good judgment.

Responsibilities
  • Coordinate and facilitate the end-to-end onboarding process for all new hires.
  • Communicate onboarding schedules, expectations, and required documentation to new employees.
  • Collaborate with HR, IT, hiring managers, and other departments to ensure all necessary tools, accounts, and access are ready before the start date.
  • Track and manage onboarding checklists and documentation in systems.
  • Provide ongoing support to new hires during their initial weeks to address questions and ensure a smooth transition.
  • Continuously evaluate and improve the onboarding process through feedback and data.
  • Maintain compliance with employment laws and internal company policies during onboarding.
  • Assist in the management of daily office operations.
  • Greet, assist and direct visitors
  • Order, maintain and stock office, kitchen, restroom and marketing supplies
  • Distribute incoming and outgoing mail and packages (USPS, FedEx, etc.)
  • Organize and plan company events and functions.
  • Manage phone systems, handling calls professionally and directing them to the appropriate personnel.
