Milk Source is seeking a detail-oriented and experienced Human Resources & Payroll Administrator to join our dynamic team. This vital role works collaboratively within the department as well as with managers, employees, and other departments to provide support in multiple functional areas of HR including:

  • Managing the life cycle of the payroll process which includes bi-weekly payroll for 15 companies and over 600 employees.
  • Management of the Year End Payroll process.
  • Entering and processing employee paperwork and changes including New Hires and Terminations while maintaining accurate employee records.
  • Preparing a variety of detailed reports and analysis to support our management team.

EDUCATION & EXPERIENCE:

  • Minimum BS degree in related field / 2-4 years’ human resources and payroll processing experience.
  • Strong Microsoft Excel experience including VLOOKUPs, Pivot Tables, If Statements, custom graph/chart creation, etc. for various payroll analysis and ad hoc reporting.
  • Experience in Paychex Flex, SharePoint, SmartSheet, DocuSign, and Employee Navigator is a plus.

Responsibilities

KEY TASKS & RESPONSIBILITIES:

  • Accountable for the day-to-day payroll administration of 600+ employees including accurate bi-weekly payroll processing, payroll compliance, and acting as initial point of contact for inquiries and issues related to payroll.
  • Work directly with payroll provider to ensure the system is set up accurately.
  • Process special payroll runs (bonus, etc.) as needed.
  • Process year-end payroll adjustments (Fringe benefits, S-Corp, etc.) and required reporting and filings (1095-Cs, W2s, etc.).
  • Work directly with the Accounting Department to ensure payroll accounts are accurate on our General Ledger and update General Ledger in payroll system, as necessary.
  • Compile various payroll reports and ad hoc analysis for each pay period for Executive Team to use in company decision-making.
  • Track and deduct all garnishments and other payroll deductions (rent, insurance premiums, etc.).
  • Quarterly/Year End payroll tax payments, review, and adjustments.
  • Assist with year-end performance payroll process.
  • Utilize Microsoft Excel to prepare various benefits, payroll, and ad hoc reports for the management team.
  • Entry and processing of new hire paperwork, terminations, address changes, employment changes, etc. in DocuSign, payroll system, and confirmation of information within the payroll process.
  • Maintain employee records; ensure all employee changes are entered and filed correctly.
  • Update DocuSign with document changes (updated legal forms, updated internal forms, etc.).
  • Maintain company housing and lease management process.
  • Update and process leases accurately in DocuSign and Smartsheet.
  • Enter/update rent deductions into Paychex with new or changed leases.
  • Management of 401k program including annual compliance reporting and audit.
  • Manage FMLA Administration and leave of absence cases.
  • Process unemployment claims as needed.
  • File annual EEO-1 Report.
  • Conduct yearly I-9 audit.
  • Assist with Health/Vision/Dental Insurance enrollment and questions as needed.
  • Assist with management of full life cycle recruiting process as needed.
  • Assist with Workers Compensation and OSHA compliance as needed.
  • Perform all duties in a safe manner.
  • Other duties as assigned.
