Human Resource Services Representative

The Avon Maitland District School Board seeks a permanent Human Resource Services Representative for the Human Resource Services department at the Education Centre in Seaforth, Ontario.
The successful candidate will collaborate with HRS Staffing Officers, Health and Wellness Officers, and the Recruitment and Retention Specialist to provide administrative support. Key responsibilities include accurately updating employee lifecycle changes in the Human Resource Information System (HRIS) and personnel files, managing SmartFind Express operations, processing Parklane and WSIB claims, supporting career fair preparations, and assisting with the coordination of supply staff interviews and related tasks.
Reports to: Senior Human Resource Services Manager
Hours of Work: 35 hours per week, 12 months per year
Employment Start Date: As soon as possible

Education, Qualifications and Experience

  • Minimum one-year certificate in office administration, Human Resources, or a related field, plus one year of relevant work experience, or an equivalent combination of education and experience.
  • Proficient in Microsoft Office (Word, Excel) and Windows programs, with strong keyboarding skills; experience with HR software, SmartFind Express, and Parklane is an asset.
  • Strong ability to maintain confidentiality and provide professional customer service across all levels of the organization.
  • Excellent written and verbal communication skills, with a solid understanding of grammar, spelling, and composition.
  • Ability to work under pressure, meet deadlines, and effectively organize, prioritize, and multitask with minimal supervision.
  • Knowledge of Human Resources operations would be an asset
Responsibilities
  • Provide prompt and efficient customer service for employee and visitor inquiries via in-person, phone, and email, explaining policies/procedures and assisting with paperwork while maintaining confidentiality.
  • Support HR functions related to recruitment, staffing, and contract administration.
  • Accurately enter transactions in HRIS and other systems for position changes, compensation, absences, transfers, sick leave, benefits, terminations, and retirements.
  • Process and file WSIB documentation, including entering incidents into Parklane and completing WSIB Forms 7 as needed.
  • Maintain and troubleshoot SmartFind Express, including system configuration and employee data management.
  • Monitor unfilled jobs, assist in filling positions with supply staff, and issue verification reminders.
  • Assist Health and Wellness Officers with Board initiatives, including design, promotion, and analysis.
  • Prepare and distribute new hire packages and support job fair preparations.
  • Gather, track, and summarize employment applications, set up interviews, and conduct reference checks.
  • Perform general office duties, including filing, copying and mail distribution.
  • Acts as back up to the other HR Services Representative.
  • Performs other Human Resources related duties as directed.

Compensation Package Details :
Rate of Pay : $46,596 - $54,265 per Level 2 in accordance with the Terms and Conditions of Employment for Non-Union, Management, Administrative and Supervisory Employees
Pension Plan : Defined pension plan through the Ontario Municipal Employees Retirement System (OMERS)
