3. KEY ACCOUNTABILITIES

  • Develop, implement, and maintain a comprehensive records management system that
    ensures proper classification, storage, retrieval, and disposal of records in compliance with
    legislative requirements and Council policies.

  • Conduct regular audits, quality checks, and security measures to protect records from

unauthorised access while ensuring data privacy and compliance with legal and ethical

standards.

  • Provide training and support to employees to enhance their understanding of records

management responsibilities, best practices, and compliance requirements.

  • Manage Freedom of Information (FOI) requests in collaboration with the Chief Financial

Officer, ensuring timely and accurate responses in accordance with statutory obligations.

  • Optimise the Council’s record keeping (currently SharePoint) structure, implement Microsoft

solutions, and manage Microsoft 365 user accounts to enhance collaboration, workflow

efficiency, and records management.

  • Provide IT support, troubleshoot system issues, oversee Active Directory configurations,

and assist in ICT projects, including the procurement, maintenance, and record keeping of

mobile devices and other IT assets.

  • Contribute to the successful implementation and fulfillment of the Regional Plan’s

objectives.

7. ESSENTIAL CRITERIA – QUALIFICATIONS, SKILLS, AND EXPERIENCE

  1. A Bachelor of Information Technology or ICT Software Technology or similar field or
    extensive experience in Computer Science, Computer Engineering, Systems Analysis, or a
    related field.
  2. Extensive experience with Microsoft 365 Administration, including Endpoint Management,
    Entra, SharePoint, Teams, Exchange, and Cisco Meraki, along with certifications such as
    Microsoft 365 Administration (Associate level), CCNA, and Cisco Meraki.
  3. Knowledge of Local Government systems, procedures, and relevant laws and regulations,
    with experience in records management principles and practices.
  4. Strong interpersonal and communication skills, with the ability to plan, prioritise, and
    problem-solve, particularly within the constraints of financial management, and budgets.
  5. Demonstrated understanding of data privacy, confidentiality, and a high level of ethics and
    integrity.
Responsibilities

GENERAL RESPONSIBILITIES

  • Identify and resolve records management issues, liaising with relevant departments and

stakeholders to ensure prompt resolution.

  • Ensure compliance with statutory requirements and mitigate associated risks related to

records management.

  • Collaborate with the Council’s ICT Coordinator, external stakeholders, and internal teams to
