JOB SUMMARY This position is responsible for managing the electronic document imaging and tracking processes within the Bank Manager Elite System “Elite”, ensuring accuracy, compliance, and efficiency in handling loan documentation for all loans.     WORK SCHEDULE Monday- Friday, 8:30 a.m. to 5:30 p.m.  ESSENTIAL DUTIES & RESPONSIBILITIES The duties listed below may not include all responsibilities that the person in this role may be asked to perform. Incumbent may be required to perform other related duties as assigned.   1. Manage and process paperless credit files by setting up new customers, including guarantors and related entities, preparing credit checklists and importing documents while tracking credit exceptions and adding ticklers.  2. Review and process all non-real estate secured loan documentation: Verify all executed loan documents generated in CoPilot were accurately transferred via automatic integration to Elite.  Process and electronically file all internal documents (Loan Approval, Loan Worksheet, all internal documents) to Elite, while tracking all credit and collateral document ticklers. 3. Review and process all new real estate secured loan documentation, including scanning attorney-signed closing documents into the system. Verify, process and electronically file all internal documents to Elite, while tracking all credit and collateral documents ticklers.  4. Review, process and electronically file all paperwork for real estate renewed loans. Electronically Record Extensions of Real Estate Note and Lien in County in Real Estate Records and scan to Elite, while tracking all credit and collateral document ticklers. 5. Review and monitor New and Renewed Audit Reports to ensure that all loans booked have been imaged in Elite.  Establish and manage relationships for all guarantors and related entities.  6. Process all incoming documents (i.e.., insurance, title policy, recorded documents, certificates of title etc.) received by interoffice or mail and electronically file document and update tickers as required in Elite.   7. Process all incoming documents received to clear exceptions. Verify all documents (PDF and hard copies) to see if they resolve the exception, then import or scan them to Elite and electronically store them. Once approved, update tracking ticker as required.  8. Image any ESB real estate loan coming due by pulling the hard copy loan file and setting up account in Elite.   Process includes scanning hard copy files, tracking, electronically file documents to Elite and export any Director Documents to Elite and clear exceptions.  9. Maintain strict standards of confidentiality.  10. Maintain a strong record of good attendance and punctuality.  11. Perform any other duties as required or assigned.  Compliance 1. Abide by all rules, regulations and Bank policies and procedures. 2. Properly maintain records and documentation. Prepare required reports within deadlines. 3. Properly secure customer and bank information.  4. Complete required BSA/AML training and other compliance training as required.  5. Associate degree preferred. * Two years banking or related experience preferred. * One year loan documentation experience preferred. Knowledge * Working knowledge of all loan related credit and collateral documents, methods of lien perfection, identify documents that will expire and require to set up a ticker and fully understand what documents are required for every loan type. Communication Skills * Superior customer service, interpersonal and teamwork skills required Critical Thinking Skills * Must demonstrate a strong attention to detail, be self-motivated and a problem-solver. * Must possess strong organizational skills and the ability to complete a project from start to finish.   Required Certificates, Licenses, Registrations * Valid Driver’s License Software Skills Required * Proficient use of Microsoft Office required.
