We seek an enthusiastic self-starter full-time legal assistant.

QUALIFICATIONS AND REQUIREMENTS:

  • Minimum of two years’ experience as a legal assistant preferred.
  • Completion of a recognized legal assistant program or equivalent professional experience.
  • Immigration-specific training or program completion is considered an asset.
  • Demonstrated commitment to working with diverse cultural backgrounds and marginalized communities.
  • Self-starter with a proactive work ethic, and a team player with excellent customer service skills.
  • Highly organized and detail-oriented, ensuring accuracy, clarity, and completeness in all tasks.
  • Ability to work under pressure and manage multiple priorities in a fast-paced environment.
  • Ability to multi-task and quickly adjust priorities to meet unexpected or competing deadlines.
  • Strong sense of integrity and accountability.
  • Fluency or professional working proficiency of a second language is an asset
  • Understanding of the following is an asset: issues facing queer and transgender communities, experiences of communities facing persecution, persons who experience mental health issues, as well as the areas of immigration, refugee, constitutional, and human rights.
Responsibilities

ABOUT THE ROLE:

Reporting directly to the Director of Case Management and Client Strategy, this role will assist the Director on assigned lawyers’ client matters, including but not limited to processing highly confidential information and seeking additional information where necessary, preparing and drafting legal documents and correspondence for immigration applications, preparing administrative materials for tribunals and courts, maintaining a high degree of professionalism and liaison with various clients.

WHAT YOU’LL DO:

The successful candidate will perform various duties, including but not limited to:

  • Prepare, index, and file disclosure documents in compliance with IRCC, the Immigration and Refugee Board (IRB) and applicable Court Rules.
  • Draft professional correspondence, including emails, letters, and faxes to government agencies and stakeholders.
  • Complete immigration forms accurately, cross-reference information, and organize supporting documentation for submission.
  • Prepare and monitor Access to Information and Privacy (ATIP) requests to federal and provincial government bodies.
  • Conduct research on country conditions and compile relevant documentation for client matters.
  • Collaborate with assigned lawyer(s) to manage client files and workload effectively.
  • Maintain a bring-forward system to track deadlines and ensure timely follow-up on all matters.
  • Communicate with clients via email, video calls, phone, and in-person meetings.
  • Organize and manage electronic client files, including processing incoming faxes and correspondence.
  • Record and log messages and communication between government agencies and the office.
  • Update client information and case progress in internal case management software.
  • Coordinate third-party services for client files, including interpreters, translators, and courier services.
  • Respond to phone calls and intake inquiries in a timely and professional manner as needed.
