JOB OVERVIEW

Weaver, Simmons LLP is seeking an Immigration Office Assistant to join our Sudbury office. The individual will be working with our Immigration department.

KNOWLEDGE, SKILLS, AND ABILITIES:

  • Maintaining confidentiality;
  • High attention to detail;
  • The ability to prioritize and manage multiple tasks efficiently and effectively;
  • Demonstrated initiative and the ability to work independently and within a team;
  • Excellent verbal and written communication skills (bilingual is an asset);
  • High reliability and accuracy;
  • Highly Organized; and
  • Strong working knowledge of Microsoft Office and Adobe software, as well as Zoom and other virtual platforms.

  • Type and proofread correspondence, forms and other documents related to immigration
  • Receive and forward telephone or electronic enquiries related to immigration
  • Work on reports from manual or electronic files, inventories and databases
  • Sort, process and verify applications, receipts and other documents
  • Process incoming and outgoing mail manually or electronically
  • Send and receive messages
  • Perform basic bookkeeping tasks
  • Prepare and format page presentation
  • Compile data, statistics and other information
  • Prepare invoices and bank deposits
  • Provide general information to clients and the public
  • Photocopy and collate documents for distribution, mailing and filing
  • Conduct research
  • Perform data entry
  • File material in storage area
  • Label files according to retention and disposal schedules
  • Label, file and retrieve documents
  • Locate and remove files requested
  • Organize and schedule office work
  • Store, update and retrieve financial data
  • Process files and paperwork related to immigration
