Responsibilities

Key Responsibilities:

  • Manage end-to-end onboarding processes for new hires across the UAE.
  • Coordinate the collection, verification, and completion of all required hiring documentation.
  • Ensure employment contracts, NDAs, Code of Conduct, and onboarding documents are signed and properly maintained.
  • Coordinate onboarding requirements with internal stakeholders, including IT and Facilities teams.
  • Maintain accurate employee records, personnel files, and document archives in compliance with company standards.
  • Ensure smooth employee onboarding experiences through timely communication and follow-up.
  • Support visa, residency, and work permit processes in coordination with employees and external service providers.
  • Follow up on biometric appointments, medical examinations, and government-related requirements.
  • Track pending documentation and ensure timely completion of immigration-related processes.
  • Review and maintain records of immigration expenses, invoices, and supporting documentation.
  • Support employee lifecycle processes including onboarding, probation, contract renewals, transfers, and status changes.
  • Maintain and update HR trackers, databases, and employee records.
  • Monitor probation reviews and follow up with managers on evaluation completion.
  • Support attendance management, leave administration, and employee requests.
  • Assist in day-to-day HR operational activities while ensuring compliance with internal policies.
  • Manage employee resignation and offboarding processes.
  • Coordinate clearance procedures and required approvals with relevant stakeholders.
  • Maintain accurate records of resignations, exits, and employee status updates.
  • Support final settlement preparation by validating leave balances and employee information.
  • Coordinate visa cancellation requirements and exit documentation.
  • Coordinate employee medical insurance enrollment, amendments, renewals, and cancellations.
  • Liaise with insurance providers to ensure timely processing of employee requests.
  • Support employees with insurance-related inquiries and documentation requirements.
  • Maintain accurate records of employee benefits and insurance coverage.

Requirements

What we're looking for:

  • Bachelor’s degree in human resources, Business Administration, or related field.
  • 1:2 years of experience in HR Operations or HR Coordination is a plus.
  • Good knowledge of UAE HR operations and onboarding processes.
  • Familiarity with UAE visa, work permit, and residency procedures is preferred.
  • Strong organizational and follow-up skills.
  • Very good communication skills in English.
  • Proficiency in Microsoft Excel and Microsoft Office tools.
  • Ability to handle confidential employee information professionally.
