JOB OVERVIEW

We are seeking a detail-oriented and organized Import/Export Coordinator to join our dynamic team. The Import/Export Coordinator is responsible for coordinating and executing global shipment activities, ensuring compliance with international trade regulations, and maintaining accurate documentation throughout the process. This role collaborates cross-functionally with supply chain, customer service, transportation providers, and customs brokers. The Import/Export Coordinator builds relationships with internal and external customers to ensure satisfaction by providing timely service and information.

SPECIALIZED KNOWLEDGE AND REQUIREMENTS:

  • Proficient understanding and application of all Incoterms.
  • Experience with HTS (Harmonized Tariff Schedule) classifications.
  • Strong knowledge of customs documentation and customs clearance procedures.
  • Preparation and handling of proforma invoices, dock receipts, commercial invoices, and certificates of origin.
  • Competency in managing Shipper’s Letter of Instruction (SLI) and Automated Export System (AES) filings (U.S.).
  • Familiarity with Importer Security Filing (ISF) requirements.
  • Understanding of duties and destination fees, phyto (phytosanitary) certifications, and USDA inspections.
  • Experience obtaining and managing Power of Attorneys (POA) for import/export transactions.
  • Ability to prepare and process Toxic Substance Control Act Certificates (TSCA Certs).
  • Experience submitting FDA disclaimers and managing associated documentation.
  • Skilled in container tracking and providing shipment visibility updates across the supply chain.

EDUCATION/CERTIFICATIONS:

Experience in import/export transportation, logistics, and supply chain management.
Bachelor’s (Preferred)

REQUIRED SKILLS:

  • Strong oral and written communication skills.
  • Proficiency in ordering systems and Microsoft applications.
  • Strong problem-solving abilities and active questioning skills.
  • In-depth knowledge of logistics processes, import/export transactions, and government regulations.

    Pay: $58,508.00 - $62,185.00 per year

Responsibilities
  • Prepare and transmit export shipment documentation per government regulations and stakeholder requirements (customs, brokers, banks, carriers, customers, SWM, etc.).
  • Ensure goods meet Customs, Tax, and Legal obligations through coordination with relevant parties.
  • Retain records as required by law or SWM policy, including temporary export/import items and compliance with agencies like the Bureau of Alcohol, Tobacco, and Firearms.
  • Update and distribute weekly intercompany container reports, addressing related inquiries.
  • Compare inbound shipments to customer expectations and notify of any discrepancies.
  • Complete required forms (POA, Custom bond, non-FDA forms) for export/import processes.
  • Coordinate export/import shipments to ensure timely and cost-effective delivery, maintaining customer satisfaction.
  • Evaluate and negotiate export shipment pricing.
  • Prepare monthly TTB reports for Ancram and handle export/import HS coding/tariff inquiries.
  • Code and approve inbound/outbound freight invoices, supporting finance with PO matching.
  • Address customer inquiries related to documentation, duties, taxes, and transportation.
  • Track and communicate inbound stems, providing monthly reports to customers.
  • Collaborate with Customer Service to ensure customer satisfaction.
  • Prepare paperwork for non-customer shipments and respond to order inquiries.
  • Process, code, and approve transportation AP invoices as needed, and submit monthly accruals to accounting.
  • Schedule production equipment and maintain efficiency while meeting OTIF requirements.
  • Identify manufacturing constraints and manage capacity loading.
