Information & Document Manager (f/m/d)


Médecins Sans Frontières (MSF) is a private, non-governmental, humanitarian organisation that provides medical aid in over 70 countries worldwide. The headquarter of the German section is in Berlin. BE PART OF THE TEAM


We are redesigning how information is managed across the organisation to make daily work simpler, clearer and more reliable. This is a hands-on role for someone who can independently assess document-management problems, develop practical solutions and carry agreed improvements through to implementation across shared-drive and SharePoint-based information. You will report to the Head of Advisory Unit for Information and Knowledge Management.


YOU WILL


Responsibilities


As a team member, you will support our projects on site - without actually being there. You will be responsible for the following tasks:


  • Design and implement document lifecycle practices, from classification through retention and disposal
  • Build and maintain SharePoint structures, access controls and governance arrangements
  • Lead the assessment and organisation of documents across the organisation
  • Plan and carry out large-scale clean-up, reorganisation and migration of legacy information
  • Turn operational and compliance requirements into practical document controls
  • Apply data protection and information security requirements to document handling and migration
  • Use Microsoft 365 tools, scripting and automation to reduce manual document handling
  • Work directly with teams across MSF to resolve shared information-management challenges

YOU HAVE


The following professional qualifications and personal qualities are important to us:


  • A track record of turning unmanaged, ad hoc information into structured, searchable environments
  • Hands-on experience configuring SharePoint and Microsoft 365 for document management
  • Experience using scripting, automation or other practical tools to solve information problems
  • Direct experience cleaning, reorganising or migrating high volumes of files
  • Experience applying document lifecycle and retention requirements in practice
  • Working knowledge of data protection, information security and compliance principles
  • Ability to work independently, make sound practical decisions and escalate matters requiring formal approval
  • Proficiency in English
