About the Role:
The Information Governance Specialist is an integral part of Latham’s Information Governance team. This role will be responsible for supporting all basic activities associated with the day-to-day operations of the Information Governance Operations team, while responding to basic requests for files and information from attorneys and staff, and researching, locating, and retrieving appropriate files using all search tools available, including manual and electronic resources. This role will be located in our Frankfurt office. Please note that this role may be eligible for a flexible working schedule that allows for a hybrid and in-office presence.
Responsibilities & Qualifications:

Other key responsibilities include:

  • Preparing new files both physically and within the records management system, which includes providing correct data entry and identification for new records, checking out files to appropriate persons, tracking the location of files in the records management system, performing file location audits when directed, and detecting and correcting discrepancies between index entries and physical documents
  • Proactively reviewing records management system content, identifying errors, and correcting them, while demonstrating proficiency in records management system functions and department procedures
  • Performing some or all box archiving and offsite storage procedures, handling incoming and outgoing files, and maintaining consistency of data between the vendor and firm databases
  • Assisting with space management, organising and classifying large document collections in the central filing area and case rooms, preparing and maintaining an inventory of active cases, and communicating with attorneys and paralegals when cases are dormant or closed to expedite destruction or removal of material to storage
  • Assisting with simple reviews and administrative tasks related to file releases, data access requests, and destructions

We’d love to hear from you if you:

  • Demonstrate basic knowledge of information governance, data security, and privacy principles, best practices, and procedures
  • Possess the ability to consistently follow procedures and display high attention to detail in all work activities
  • Exhibit the ability to develop knowledge of the physical and electronic resources of the department and firm, and the ability to articulate the role of effective space management in the overall administration of the office

And have:

  • A high school diploma or equivalent, preferably a bachelor’s degree or equivalent; relevant information governance or records experience may be considered in lieu of a degree
  • Relevant information governance or records experience, preferably in a law firm Information Governance or Records Department
  • Experience in other law firm positions having significant document organisational responsibilities may be considered in lieu of directly related information governance or records experience
  • Excellent communication skills, both written and verbal, in German and English
