Description

The Federal Bridge Corporation Limited (FBCL) is a Crown corporation responsible for overseeing the Canadian federal interests in four international bridge crossings between Canada and the United States. Its mandate is to provide the highest level of stewardship so that the international bridges and associated structures are safe and efficient for users. FBCL owns, manages and operates international bridges and associated structures in Sault Ste. Marie, Point Edward, Lansdowne (Thousand Islands) and Cornwall, Ontario.
Summary
The Information Management Assistant reports to the Manager, Information Management is responsible to perform information analysis, electronic document management using GCDOCS (OpenText Content Server), classification and disposition of records, research and reference, development of IM tools and filing, as well as other duties.

Duties and Responsibilities

  • Process new ATIP requests, complete monthly ATIP reports, complete annual ATIP reports
  • Conduct training for new hires on FBCL Information Management standards and GCDocs including GCDocs onboarding and offboarding activities
  • Maintain GCDocs account permissions for various user and groups (including use of supplemental markings and security clearances)
  • Monitor IM system and complete monthly GCDocs standard operation procedures (i.e. search index verification) in both development and production environments
  • Conduct GCDocs testing in both development and production environments, including Opentext core additional modules (i.e. Fastman)
  • Provide advanced GCDocs support
  • Provide records management support by completing disposition activities of electronic and paper records and managing file plan and retention schedule
  • Manage file room contents
  • Search for files using various techniques and systems
  • Maintaining and publishing of corporate and admin policies to the Intranet (e.g. employee portal)
  • Coordinate with OpenText on any support issues and monitoring GCDocs licensing usage; and,
  • Prepare and use workflows

Essential Qualifications

  • Experience using GcDocs (OpenText Content Server)
  • Knowledge of records management principles normally acquired through a post-secondary education or equivalent experience
  • Experience and comfortable working in a file room
  • Experience with computer software such as management of emails, word processing, spreadsheets and databases
  • Autonomous, attention to detail
  • Good verbal and written communication skills
  • Excellent organizational skills
  • Bilingualism is an asset;
  • Must be able to lift boxes weighing 20 lbs;
  • Ability to obtain and maintain Secret security clearance required; and,
  • Ability to demonstrate and maintain language requirement (English Essential) is required.
