Mamaweswen, The North Shore Tribal Council invites applications for the position of Information Technology Administrative Assistant. Purpose The IT Administrative Assistant provides high-level administrative and operational support to senior IT leadership, ensuring smooth coordination across technical, strategic, and organizational initiatives. This role bridges executive administration and technical understanding, enabling efficient execution of department goals, project priorities, and executive communication. Responsibilities: Administrative Support Manage calendars, appointments, and scheduling for IT executives. Coordinate internal and external meetings, including preparing agendas, slide decks, documentation, and follow‑up actions. Handle confidential information with a high degree of discretion and professionalism. Prepare executive-level correspondence, reports, and memos. Provide backup reception support when needed. At the direction of the department supervisor and/or senior leader, this role will assist multiple departments on an as needed basis. The duties may include, but are not limited to, administrative and fleet support, filing, general office labor tasks, organizing and moving parcels to desired location. Technology & Project Coordination Assist in tracking IT projects, deadlines, and deliverables. Support project documentation, meeting minutes, and stakeholder communication. Help manage procurement requests, vendor coordination, and contract updates. Maintain asset tracking and inventory organization for executive‑related IT equipment. Operational & Administrative Support Coordinate travel arrangements for IT leadership. Manage expense reports, budgets, and invoice processing. Organize department-wide communications, announcements, and events. Facilitate onboarding support for new IT team members (access requests, equipment coordination, orientation scheduling). Communication & Collaboration Serve as a point of contact between IT leadership and internal teams. Assist in drafting clear and concise messages, updates, and presentations. Provide support during executive meetings, including preparing documentation and tracking action items. Qualifications: The IT Administrative Assistant shall possess: High school diploma with proven experience in administrative support, and/or IT coordination. Familiarity with data entry, asset management, basic technical troubleshooting and device setup. Strong understanding of IT terminology, systems, and workflows. Proficiency with Microsoft 365 (Outlook, Teams, Excel, PowerPoint, SharePoint). Exceptional organizational and multitasking skills. Strong written and verbal communication abilities. Ability to work independently and manage complex schedules. High degree of professionalism and discretion.
