Position Summary:
Act as the leader for Phoenix Seminary IT Department, overseeing and maintaining all aspects of the seminary’s IT stack, and serving as the primary contact with IT vendors.
In addition, this position provides technical support for special events. This position manages two Information Technology Specialist positions who assist with online course development, system administration, and project implementation. This position assumes the traditional duties of a webmaster, which include ensuring proper site management, managing content updates, responding to problems with functionality or downtime, and working with the Manager of Communications and the seminary’s web development vendor for website improvements.
This position also includes educational technologist tasks assigned by the Vice President of Operations. Ensures the organization’s computer hardware, software, database management systems, and telecommunication services are working correctly. In conjunction with the seminary’s MPS, coordinates and configures systems to ensure they are performing at optimal speed. Meets with management teams to discuss how information technology can help the organization achieve its latest goals. Trains end-users on operating software, hardware, and databases. Oversees hardware and software installation, and trains the systems’ end users. Responsible for all identity access management activities. Creates, maintains, and troubleshoots all data exchange between softwares. Responsible for data management, forecasting, regression analyses, and reporting. Strives to integrate various information systems.

• Demonstrably advanced knowledge of VBA and Excel Macros
• Working knowledge of identity access management best practices
• Proficiency in cybersecurity best practices, including principle of least access privilege, AI risk, and conditional access policies
• Proficiency in adult learning techniques and theory
• Proficiency in UX and UI
• Previous experiencing designing, implementing, and maintaining various APIs and automations using Microsoft Power Automate, Zapier, and/or Parsey
• Experience troubleshooting AV technology for medium to large events

PHYSICAL REQUIREMENTS

• Lead and manage a team of two IT Specialists whose job responsibilities include online course development, system administration, Tier I support, and project implementation
• Act as Tier II support for faculty, students, and guests who are having difficulty with classroom technology, conference technology, computer needs, software bugs, permissions issues, account credentials, and multi-factor authentication
• Create and implement professional development opportunities for IT Specialists
• Assist IT Specialists and the Academic department with development of new online courses and implementation of existing courses each semester
• Create an excellent online user experience for staff, students, and faculty that interact with Phoenix Seminary systems
• Oversee all cybersecurity initiatives and general posture, being prepared to respond to incidents at any time and acting as the primary investigator to determine potential liability, continued risk, and potential damage in the event of a breach
• Train all staff on cybersecurity, phishing, and password hygiene through development of trainings, user-friendly documentation, and phishing tests
• Act as the subject matter expert on Phoenix Seminary software and hardware
• Serve as the primary point of contact for all IT vendors and internal users
• Professionally communicate with vendors regularly on a variety of topics, including contract disputes, poor vendor performance, and, if necessary, termination of vendor relationships
• Negotiate new contracts and contract renewals with IT vendors
• Navigate competing priorities and make strategic decisions to further seminary goals
• Maintain inventory control and execute proactive equipment replacement regiment
• Manage new hardware and software implementations / upgrades
• Manage hardware lifecycle, including secure disposal and recycling of decommissioned hardware
• Manage internal service requests related to hardware, software, or permissions issues
• Oversee and proactively maintain classroom technology, including screencasting technology, projectors, TVs, microphones, and speakers
• Oversee Zoom, Teams, and Vimeo for remote course delivery and conferencing, maintaining relevant equipment in classrooms and conference rooms
• Oversee, maintain, and provide support for AV, computer, and lighting systems for all events
• Serve as technical support for special events (both PS and external events) as needed
• Configure and set up computer workstations, including joining new machines to the Phoenix Seminary domain, configuring computer settings, and setting up monitors, speakers, and other peripherals
• Maintain approximately 5,000 lines of VBA code (debugging, implementation of feature requests, and quality assurance testing) that is used to automate various administrative processes, and write new code as business needs arise
• Work with various department leaders to plan and execute improved usage of existing technology and software
• Regularly test, edit, and proactively manage Phoenix Seminary’s backup systems, disaster response plan, and business continuity plan
• Develop the Seminary’s annual technology budget for all departments while managing its implementation (paying particular attention to cash flow). Review and analyze monthly budget reports for variances to reconcile discrepancies
• Work with MSP to monitor day-to-day technology systems and processes that support the goals, progress, processes, and operations of Phoenix Seminary
• Work with MSP to proactively plan for IT upgrades, changing cybersecurity landscape, and strategic goals
• Execute existing operational and strategic plan, and participate in the creation of future operational and strategic plans
• Maximize efficiency and productivity through extensive process analysis, interdepartmental collaboration, software implementation, process diagramming, and technical documentation
• Continually evaluate best industry practices compared to internal systems and needed resources, with an eye toward future needs and budget realities
• Serve as a lead project manager for all technology projects, successfully prioritizing project backlog and resource allocation
• From an IT perspective, onboard and offboard all Phoenix Seminary employees
• Oversee privacy and data governance matters, and ensure our policies and practices are in line with standard industry standards and privacy regulations, including FERPA, CCPA, GDPR, and CAN-SPAM
• Ensure the seminary adheres to copyright law as it relates to the displaying of copyrighted material during events by maintaining CCLI coverage and reporting song usage
• Regularly audit and test IT inventory, computers, and AV equipment
• Ensure Phoenix Seminary is PCI compliant and staff members are trained on how to securely process credit cards online and in person.
• Ensure that all components of the IT infrastructure are maintained appropriately and refreshed at appropriate times
• Document software policies, procedures, data standards/flows, and change orders for new or revised database functions
• Maintain Phoenix Seminary databases, APIs, data visualization tools, regression analyses, and forecasts to ensure accurate and timely data for data driven decisions
• Act as the primary administrator and access control manager for Phoenix Seminary’s Microsoft instance
• Fulfill other duties as assigned by the Vice President of Operations
