We are looking for someone with proven experience in high-level executive support, excellent communication, and strong organisational abilities. You must be adaptable, detail-oriented, and capable of managing competing priorities while supporting senior leadership in a fast-paced environment.

KEY SKILLS & QUALITIES:

  • Strong executive assistance background with advanced skills in document preparation, Microsoft Office, and meeting coordination.
  • Excellent time management, organisation, and decision-making skills, with the ability to prioritise tasks and work under pressure.
  • Well-developed interpersonal and communication skills, able to interact professionally with internal and external stakeholders.
  • Experience implementing systems or procedures, understanding council operations, and a current driver’s licence.

ABOUT THE ROLE

The Executive Assistant provides high-level executive and administrative support to the Director of Infrastructure Services and the broader directorate. The role ensures smooth operations, effective communication, and quality service delivery through coordination, reporting, meeting support, and project assistance.

KEY RESPONSIBILITIES:

  • Deliver executive and administrative support, including diary management, correspondence, and document control for the Director and team.
  • Coordinate and support meetings, committees, and projects, ensuring agendas, minutes, actions, and logistics are effectively managed.
  • Handle internal and external customer enquiries and ensure timely allocation and resolution in line with Council service standards.
  • Maintain and update records, policies, procedures, and digital platforms; assist with grants, procurement, reporting, and data systems.
