Job Overview: The Inside Production Coordinator follows up on sold jobs from beginning to end including customer communication, permit acquisition, material management, crew scheduling, and coordination with production teams. This role requires an individual who excels in problem-solving. Key Responsibilities: Works to meet or exceed department KPIs. Ensures crews have what they need to be successful at their installations, including communicating accurately and timely about job details, coordinating utility locates, preparing any special needs of an installation, etc. Serves as a point of contact for customers, including answering questions, scheduling installations, confirming installations, project timelines, project updates or changes, providing contract deliverables, assuring quality, solving problems, etc. Coordinates all paperwork, contracts, data entry, and correspondence regarding all job proposals sold and ensure they are accurate, timely, and completed according to Company procedure. Ensures compliance with all local regulations and requirements for permits and other legal documentation, ensuring they are approved and fully documented before work begins. Reviews and analyzes production reports to assess project progress, materials usage, and permit status, making improvements where needed. Resolves customer concerns and logistical issues promptly, using problem-solving abilities to prevent delays or project disruptions. Monitors project budgets and resource allocation to ensure project logistics stay on track and within budget. Ensures customers have a remarkable experience. Lives out the company’s purpose, mission, and values Provides customers with a remarkable experience Any and all duties as assigned by supervisor Knowledge, Skills, Abilities, and Other Characteristics: Knowledge of project management and/or customer service principles and practices. Skill in organizing large amounts of technical information, various project details, and a customer database. Skill in operating a personal computer and programs. Proficient in Microsoft Office Suite, project management tools, and other relevant software. Ability to detect/recognize information in written materials and on computer screen 75-100% of time. Ability to perform accurate data entry. Ability to understand, speak, read, and write in English. Excellent interpersonal and communication skills, capable of managing relationships with customers, vendors, and internal teams. Exceptional organizational and problem-solving abilities with a focus on continuous improvement. Ability to handle complex project coordination, resolve conflicts, and make critical decisions to keep projects moving forward. Highly motivated, proactive, and able to work independently and as a team Education and Experience: 1 or more years’ experience in project management and/or customer service OR a combination of education and experience High school diploma or GED PHYSICAL DIMENSIONS FOR LIFTING, CARRYING, PUSHING, PULLING Sedentary Work: Exerting up to 10 pounds of force occasionally and/or a negligible amount of force frequently or constantly to move objects. Job involves maintaining a stationary position most of the time. Job is sedentary and moving about is required occasionally to visit customers and teammates.
