Inside Sales Customer Service Representative

Rocky Mountain Phoenix Inc. (Red Deer AB)

  • Rocky Mountain Phoenix Inc. is a leader in providing equipment, service, and apparatus to the fire suppression industry.
  • We are looking for someone who is initiative-taking, dependable and will bring energy and enthusiasm to the workplace.
  • This is a 12-18 month term contract position.

Accountabilities:

  • Provide excellent customer service and promote a positive experience for Rocky Mountain Phoenix customers.
  • Assist walk-in customers by addressing inquiries, providing product information, and processing payment if needed via terminal machine, cash, or cheque.
  • Promptly respond to inbound emails, messages, and phone calls ensuring timely and effective resolution of customer inquiries.
  • Maintain the accuracy of the database by collecting new and updated customer and account information.
  • Efficiently and accurately process approved quotes and customers’ orders/PO into our in-house Sage ERP system.
  • Gather and verify customer shipping information to ensure a smooth shipping process.
  • Proactively update customers on stock levels and shipping details.
  • Ensure that the company database is up to date with customer information, including change of address/contact information.
  • Process sales return and replacement orders, initiating shipping claims for damages in collaboration with the shipping department.
  • Support outside sales team as needed to address customers’ needs and inquiries promptly.
  • Provide inventory updates to procurement for effective stock level maintenance.
  • Maintain open orders in Sage ERP, consistently communicating shipping details to customers.
  • Keep secure records of outgoing inventory.
  • Collaborate with the accounting department to reconcile any extra charges on freight invoices with customers.
  • Acknowledge and resolve customer complaints.
  • Enhance client service by actively developing industry and product knowledge.
  • Other duties as assigned.

Requirements for Customer Service Representative

  • Fire Industry knowledge and or experience is an asset.
  • Experience in customer service.
  • Microsoft Office, Sage 300 ERP proficiency and data entry experience preferred.
  • Evident attitude of customer service and desire to build teamwork and support team members.
  • Proven organizational skills with the ability to multitask, prioritize, and manage time effectively.
  • Strong listening and presentation skills.
  • Excellent communication skills.
  • Ability to establish rapport with customers.
  • Natural curiosity and desire to learn, grow and develop your skill set.
  • Basic knowledge of accounting
  • Ability to multi-task and meet strict deadlines.
  • A collaborator with the drive for continuous improvement.
  • Job Type: Full-time, Salary: $50,000-52,000 yearly

Job Type: Fixed term contract
Pay: $50,000.00-$52,000.00 per year
