Description:
We are looking or a highly motivated individual to provide a supportive role to our current Intake Team. The Intake Administrator will be the first point of contact receiving referrals directly from our customers across all business segments, auto-insurance, life and health insurance, medical legal and employer. The Intake Administrator will be responsive for inputting all customer and evaluee information into our operating systems, and assigning the referral to the Intake Coordinator for booking. The role involves a variety of supportive and administrative activities in a fast-paced, time-sensitive medical assessment environment. Please note that duties and responsibilities are subject to change based on day-to-day business needs and operational changes in workflow.
EDUCATION AND / OR EXPERIENCE
Post-secondary education or 2 years of related work experience
Knowledge of the Statutory Accident Benefits Schedule
Bilingualism (French) is an asset
QUALIFICATIONS
Relevant experience in an Administrative role is required
Demonstrated ability to type a minimum of 35 W.P.M.
Proficiency in Microsoft Office Suite
Must possess strong tendencies for accuracy and attention to detail
Demonstrated ability to work independently, prioritize work activities and manage time efficiently
Solid working knowledge of PIPEDA/PHIPA and best practices would be ideal.
Demonstrated ability to promote a positive team-oriented environment
Demonstrated ability to work well under pressure
Fluent command of the English language verbal/written

Responsibilities:
Communicate with assessors, clients, and examinees regarding appointment scheduling, appointment changes, and receipt of medical records and/or images
Accept, acknowledge, enter and assign new referrals and reschedule requests received from customers into Smart Simple in accordance with respective SLA’s
Acknowledge notes/documents/directions received from customers, and forward onto the Intake Coordinator assigned for handling
Forward all emails/documents/invoices/requests/inquiries from the info inbox to the correct person/department
Arrange flight and hotel accommodations for clmnts who are travelling to attend IMEs
Arrange flight and hotel accommodations for assessors travelling to perform IMEs
Promptly respond to all incoming calls, e-mails and faxes from assessors or clients
Communicate clearly with clients, assessors, and examinees
Perform miscellaneous job-related duties as assigned
Answer phones as required
