Description

Kingsway Oral and Maxillofacial Surgery is an approved non-hospital surgical facility providing excellence in patient care for over 60 years. The main Edmonton clinic relocated to its current location in 1998, followed by the launch of a satellite clinic in Grande Prairie in 2005. With multiple surgeons on site, Kingsway is a fast-paced environment where a well-organized, dynamic individual can thrive.
We are currently looking for a highly motivated individual to join our team as a Full-time Intake and Booking Team Lead. This is a hands-on leadership position that begins with a passion for providing an exceptional patient experience. The successful candidate will coordinate the training and development of team members to deliver excellent service in performing all duties associated with phone reception, incoming referrals, appointment scheduling, and assisting with the completion of job functions when needed.

QUALIFICATIONS

  • 3+ years supervisory experience preferred
  • Experience with multi-provider schedule management an asset
  • Background in dental administration an asset
  • Pleasant, professional manner
  • Adaptive and responsive in a large, fast-paced clinical environment
  • Highly motivated; takes initiative
  • Eager to learn and develop staff

Responsibilities
  • Oversee the patient’s onboarding experience with KOMFS as the initial connection point
  • Provide support and guidance to the intake and booking teams, fielding questions, and resolving issues when necessary
  • Oversee the workflow process from initial referral through appointment booking for patients, ensuring timely, thorough handling and scheduling that meets a patient’s needs within Kingsway’s guidelines and protocols
  • Monitor work volume, coordinating the allocation of resources to maximize the team’s effectiveness
  • Actively contribute and advocate for “the Kingsway way” as we pivot to a clinic-wide approach to simplify, standardize, and streamline processes for the benefit of KOMFS and our patients
  • Collaborate with other team leads and management
  • Build a professional work environment and foster a positive staff culture that respects, values, and encourages the individuals and the team
  • Schedule team member shifts that provide coverage to effectively meet the needs of KOMFS
  • Review team time off requests and identify potential scheduling conflicts before submitting recommendations to management for final approval
  • Incorporate cross-training initiatives to strengthen the team’s ability to complete all tasks regardless of absences
  • Develop and deliver training plan for new hires
  • Receive incoming phone calls for the clinic with a friendly, professional telephone manner
  • Maintain complete, accurate patient charts (i.e., physical and digital)
  • Prepare cost estimates for recommended treatment plans when needed
  • Prepare pre-determinations for third party insurance carriers; includes contact with subscriber regarding coverage and financial obligations when needed
