EXPERIENCE / POSITION REQUIREMENTS:

  • 2 years of administrative experience
  • Experience with IDEAs an asset
  • Successful completion of a college diploma preferably in the field of Medical Office or Business Administration
  • Computer Savy
  • Proficient in Microsoft Office/Suite
  • Excellent interpersonal and relationship building skills
  • Superior time management, organizational and self planning skills
  • Demonstrated satisfactory work performance and attendance history
  • Excellent communication skills.

SKILLS:

  • Ability to prioritize, organize workload and plan independently.

Responsibilities

YOUR ROLE

The Intake Coordinator/Financial Counsellor reports to the Clinic Operations Manager and works closely with the clinical team. The intake coordinator/Financial Counsellor is an integral part of a busy and dynamic clinic practice. In this role you will be expected to exercise sound judgment and independence while managing the day-to-day related administrative activities. You will demonstrate a strong commitment to quality customer service applying excellent problem solving and communication skills to ensure the success of the clinic.

JOB RESPONSIBILITIES:

  • Receiving and processing incoming referrals.
  • Answering phone calls.
  • Maintaining referral tracking and statistics.
  • Professional verbal and written communication with patients.
  • Communication with referring physicians’ offices.
  • Proper documentation within EMR
  • Uphold office procedures and policies.
  • Ensures patients satisfaction, promotes excellent customer service and maintains professional attitude.
  • Maintains filing and organizational systems.
  • Send treatment quotes to the patients in a time manner.
  • Explain the treatment quotes to the patient.
  • Maintain appropriate reports for the management.
  • Ensure patient satisfaction.
