Description:
REQUIRED QUALIFICATIONS AND EXPERIENCE
- Certificate III in Business Administration/Business (Medical) – Minimum requirement
- Minimum 2 years’ experience as a receptionist or within an administrative customer service role
- Competence in Microsoft Office suite applications including Word, Outlook, PowerPoint, Excel and Google applications
- Flexible and responsive to the needs of the TAIHS community and driven to achieve the best outcomes
- Experience working with Aboriginal and Torres Strait Islander communities, preferably in a health or community setting
- Good written, verbal, visual and non-verbal communication skills to ensure positive engagement with staff, clients and visitors
- Demonstrated understanding of the principals of customer service
- Demonstrated commitment to the principles of client/patient confidentiality
Responsibilities:
DUTIES & RESPONSIBILITIES
Your key duties and responsibilities will include but are not limited to:
- Undertake open and close procedures of the main reception area
- Greet and welcome patients/visitors presenting to the clinic
- Ensure a high standard of care and confidentiality is provided to patients, doctors, and workforce
- Ensure the provision of excellent communication and customer service skills to patients and employees
- Assist patients with enquires and appointments when they arrive at the clinic in person
- Answer phones and incoming enquiries in a timely manner remaining confidential with information at all times
- Book and confirm patient/transport appointments
- Undertake general administrative duties to support the effective operations of the clinic
- Ensure a friendly and courteous disposition with all communication
- Ensure the accuracy of messages taken and appropriate announcement of callers to call recipients
- Ensure competence in two-way radio operation
- Ensure all client documentation is scanned accurately and in a timely manner
- Ensure vehicle maintenance and servicing are maintained in consultation with Assets, Facilities and Infrastructure Lead
- Ensure patient appointments including bookings, confirming, cancellation, rescheduling as required is actioned
- Provide administrative support for Health Professionals, i.e., filing, scanning, and photocopying
