As a growing organization, we are seeking a compassionate Intake & Training Specialist – Clinical Services to join our Article 31 Mental Health Clinic team.
Job Summary:
The Intake & Training Specialist – Clinical Services supports the complete client intake process, ensuring a smooth transition from initial contact to service initiation. In addition to this, the person in this role will serve as a vital liaison between our HR department and Clinical team. This role is essential to ensuring a smooth, supportive onboarding experience for new clinical hires and ensuring new team members understand the part they play in ensuring safe, compliant services. Success in this role requires coordinating with various departments to provide a seamless new provider experience.

Key Responsibilities:

  • Act as the primary point of contact for newly hired clinicians after initial onboarding with HR is complete
  • Guide new hires through the full integration process, including setup in internal systems such as Insync, SharePoint, and other platforms
  • Train and reinforce the training conducted by leadership with regards to clinical documentation standards and department processes
  • Provide consistent, hands-on support throughout the post-onboarding period to ensure smooth transitions
  • Lead and manage the Peer Support Training Program under the direction of leadership
  • Coordinate training sessions and ensure completion of required clinical and operational trainings as per company, local, state, and federal standards
  • Collaborate with HR and leadership from the clinical department to align onboarding goals and track progress of incoming providers or administrative staff
  • Monitor and track from the point of initial contact with a referral or new hire through the hiring and onboarding process past their pre-employment checks and until at minimum, their work start date
  • Assist with administrative tasks related to new role needs, onboarding documentation, audits, compliance, and quality assurance by maintaining current records and conducting regular interdepartmental follow-up
  • Under the direction of leadership, regularly meet with the HR Recruiter to communicate department hiring needs to ensure HR job posts are accurate and posted/unposted based on company needs

Qualifications:

  • Previous experience in training, onboarding, or administrative support (preferably in a clinical or healthcare setting)
  • Fluent in English, with strong verbal and written communication skills
  • Professional phone & camera presence and ability to interact effectively with clients via telephone or video calls
  • Excellent communication and interpersonal skills
  • Strong organizational skills and attention to detail
  • Tech-savvy and comfortable navigating multiple software platforms including Microsoft Office. Proficiency in Microsoft 365 is required.
  • Solid understanding of technology to effectively conduct remote training sessions, schedule training sessions, develop training material, manage notes, and maintain records
  • Ability to work independently and as part of a collaborative team
  • Passion for supporting professionals in their early career development
  • Willingness to learn other Software systems to ensure training is comprehensive and department objectives are satisfied
  • Ability to develop and customize training programs to meet new team member learning needs
  • Sensitivity and understanding of mental health issues with the ability to learn the types of services the clinic offers and the hierarchy of the clinical team
  • Ability to conduct training sessions for groups ranging from 2 to 15 participants, including clinicians and certified Peer Support Specialists

Experience:
At least 2 years of experience in a similar role, preferably within a mental health or social services setting.
