Integrator / Business Operations & Delivery Manager Type: Contractor or Part-time Lead Reports to: Founder / Strategist Team managed: Campaign, Content, Tech contractors Location: Remote Timezone: flexible Start date: Immediate Mission Take full ownership of day-to-day delivery, operations, and execution across a pod-based team. This role ensures that client work is completed on time, with high quality, and that the internal team runs smoothly and efficiently. You simplify workflows, eliminate blockers, and keep people and projects moving. You’re someone who thrives on structure, loves to make things simpler, and is excited by the power of AI and automation to reduce manual work. As contractors and campaigns are across all time zones, we rely heavily on asynchronous updates instead of meetings. This candidate needs to be Tech savvy and not just work in the processes, but drive improvement and automation of them. ResponsibilitiesProject & Delivery Management Manage and coordinate deliverables across all pods (Campaign, Content, Tech) Translate goals and client needs into clear tasks, deadlines, and workflows Track delivery status and proactively resolve bottlenecks Run weekly pod check-ins and update ClickUp/Notion boards Oversee QA before launches (links, assets, automations, emails) Customer Success & Client Communication Serve as the main point of contact for ongoing clients (non-sales) Provide regular status updates, deliverable timelines, and next steps Respond to incoming requests and route to the right person or pod Track client satisfaction and ensure retention-level communication Proactively surface potential blockers or delays to the client Contractor Oversight Manage a team of 10–20 freelancers and specialists Assign work, clarify expectations, follow up, and track quality Review submissions (copy, design, tech builds) and route for approval Maintain clarity in team communication and timelines Workflow & Automation Spot inefficiencies and simplify workflows across pods Use AI and no-code tools (ClickUp, Notion, Make, Zapier) to automate processes Maintain internal documentation for repeatable processes Propose and implement 1–2 operational improvements each month AI-First Operations Use tools like ChatGPT, Notion AI, and ClickUp AI to draft briefs, SOPs, checklists, and reports Daily updates from Contractors Summarize weekly progress updates and risks for the founder Collaborate with the Tech Pod to roll out backend automations and efficiencies Weekly Rhythm Monday – Pod check-ins and project board review Tuesday–Thursday – Delivery oversight, team follow-up, unblockers, system improvements Friday – Delivery status update, KPI tracking, improvement suggestions Success Metrics On-time delivery rate across all pods and client campaigns Contractor ownership and satisfaction Time saved for founder and delivery team Number of workflows simplified or automated Quality and speed of new contractor hires Ideal Candidate Strong background in operations, project management, or agency delivery Highly organized and able to manage multiple projects in parallel Skilled at working with creatives, tech freelancers, and marketers Proactive, resourceful, and unafraid to make decisions Confident using ClickUp, Notion, Slack, Google Drive Curious about and capable of using AI tools to improve execution Bonus: Experience with HighLevel, Make, Zapier, or ThriveCart integrations Tools You'll Work With ClickUp / Notion (task and workflow management) Clickup (internal communication) Google Drive (asset and file management) HighLevel, Make, Zapier, n8n (automation support, with help from Tech Pod) ChatGPT, Notion AI, ClickUp AI (for drafts, briefs, summaries, SOPs) Loom (for async training and team updates) Fully Remote: South Africa Salary $ 2500 - $3000
