POSITION OVERVIEW

This role is ideal for a highly motivated and goal-oriented, individual. The ability to anticipate the needs of the President and being in tune with the day-to-day operations of the company and needs of the Executive Team is an essential quality for this role. This individual will maintain positive, productive working relationships with internal and external parties and will manage these relationships in a manner that promotes a positive corporate image, builds morale and supports collaboration.
This is a Monday to Friday in-person full-time position with extended health benefits and training opportunities. The successful candidate will be energetic, polished, professional, have outstanding customer service skills and the ability to work with none to minimal supervision while ensuring the office services are provided with the highest level of excellence.

QUALIFICATIONS:

  • Post-secondary education with a business/accounting focus preferred
  • 6 years of relevant experience in similar role
  • Strong knowledge MS Office 365 and proficient with general office applications
  • QuickBooks Online experience is a must
  • Ceridian Payroll software knowledge is required
  • Exceptional Organization skills
  • Great attention to detail and ability to multitask under strict deadlines
  • Self-motivated and able to work with minimal supervision
  • Ability to work well independently and in a team environment
  • Excellent oral and written communication skills
  • Ability to work after hours when required
  • Currently living in Calgary area
  • Must own a reliable and insured vehicle
  • Valid Class 5 Driver’s license required
  • Clear criminal record
  • Available to start immediately

Responsibilities
  • Manage full-cycle Accounts Receivable and Client Billing: quoting, invoicing, renewals, timeblocks, and payment processing
  • Coordinate Accounts Payable: vendor setup, purchases, bill entry, and PO management
  • Process Payroll and Consultant Payments, including health benefits, on-call pay, reimbursements, and time-off tracking
  • Lead weekly financial meetings; support monthly forecasting, Year-End preparation, and tax filings (GST, PST, WCB, income tax)
  • Coordinate hardware/software procurement, vendor communication, quoting, order placement, and maintain procurement records
  • Plan and coordinate project quotes and installations
  • Support software licensing renewals and client onboarding (Microsoft, Adobe, Checkpoint)
  • Coordinate team scheduling and follow up on deadlines and task completion
  • Manage general office administration and vendor relationships
  • Assist with process improvements, documentation, policy implementation, and maintain internal Accounting and Procurement Handbooks
  • Coordinate Installation Projects
  • Other duties as assigned
