Background As part of the ongoing audit of the 2017–2019 financial statements, the auditors have requested several missing supporting documents that must be retrieved, scanned, and submitted promptly. These supporting documents are critical to ensuring the completeness and accuracy of the audit trail for the stated periods. Given the volume of files to be reviewed and scanned within a limited timeframe, additional temporary support is required. The Finance team is currently focused on ongoing operational priorities, and the assistance of an intern will help ensure the timely and accurate completion of this task while maintaining proper documentation standards. Objective To assist the Finance Department in retrieving, scanning, and organizing the missing supporting documents requested by the auditors for the financial years 2017–2019. Scope of Work Document Retrieval: Locate and pull out the required physical supporting documents from the archives for the years 2017–2019, as per the auditors’ request list. Scanning: Digitize the identified documents using scanning equipment, ensuring all pages are legible and complete. File Naming and Organization: Save scanned files in accordance with Finance’s standardized naming conventions and organize them into the appropriate digital folders for audit submission. Verification: Review scanned files to ensure completeness and clarity, re-scanning as needed. Confidentiality: Maintain strict confidentiality of all financial records and comply with internal data protection procedures. Reporting: Provide regular progress updates to the Finance focal point and flag any missing or unclear documents immediately. Expected Deliverables All auditor-requested supporting documents for FY 2017–2019 retrieved, scanned, properly named, and stored digitally in the assigned folder. Qualifications and Skills Basic computer skills, including scanning and file organization. High attention to detail and accuracy. Ability to handle sensitive financial documents responsibly and maintain confidentiality. Organizational and time management skills.
