We are seeking an organized, detail-oriented, and proactive Office Administrator to manage the full order cycle — from customer confirmation to production coordination and delivery.
Key Responsibilities

  1. Order Processing & Coordination
  • Accurately process all customer orders into the system, ensuring details (fabric choice, dimensions, firmness, delivery dates) are correct.
  • Confirm orders with customers and obtain any necessary approvals before production.
  • Issue purchase orders to suppliers for materials, tracking delivery timelines.
  • Monitor and update the status of orders throughout the production process.
  1. Inventory Management
  • Maintain up-to-date records of raw materials and finished goods inventory.
  • Coordinate with suppliers to ensure timely restocking of fabrics, foam, frames, and other materials.
  • Flag low stock levels and proactively place orders to avoid delays.
  1. Customer Communication
  • Serve as the main point of contact for customers regarding order status, delivery updates, and inquiries.
  • Provide clear timelines and manage expectations, especially for custom orders.
  • Resolve customer issues quickly and professionally in coordination with management.
  1. Supplier & Production Liaison
  • Communicate with suppliers for timely delivery of materials and resolve any quality or supply issues.
  • Work closely with the production team to align daily priorities with incoming orders.
  • Ensure production has all necessary information and resources to complete orders on time.
  1. Administrative Duties
  • Maintain accurate digital and physical filing of orders, invoices, supplier documents, and delivery records.
  • Prepare and send invoices to customers; follow up on pending payments.
  • Generate daily and weekly reports on orders, deliveries, and pending items for management review.

Qualifications & Skills

  • Education: Post-secondary diploma or degree in Business Administration, Supply Chain, or related field preferred.
  • Experience: Minimum 2–3 years in office administration, order processing, or supply chain coordination (manufacturing or furniture industry experience is a plus).
  • Strong organizational skills with attention to detail.
  • Excellent verbal and written communication skills.
  • Ability to multitask and prioritize in a fast-paced environment.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook) and comfortable learning new software.
  • Problem-solving mindset with the ability to work independently and as part of a team.
