Overview The Program Coordinator supports the day-to-day operations of Conway Regional Health System’s (CRHS) Internal Medicine (IM) Residency Program. This role works closely with the GME Director and Program Director to manage residency management software, coordinate rotations and evaluations, and support recruitment activities. The Program Coordinator also assists with resident scholarly activity, including database management, prepares instructional and program materials, and manages program-related correspondence, along with other duties as assigned. Responsibilities Develops and maintains residency program schedules, evaluations, and tracks resident attendance Develops, implements, and maintains departmental recordkeeping and filing systems. Manage residency recruitment operations, including use of recruitment software, applicant tracking, interview scheduling, recruitment events, and coordination of communication between candidates, faculty, and program leadership Manage onboarding processes for incoming residents Performs a variety of general administrative duties specific to the needs of the department. Places, receives, and routes telephone calls and messages; screens and priorities calls In conjunction with the Program Director, determines the educational needs for the residents. Tracks faculty involvement in scholarly activity in at least three domains as specified in the program requirements. Tracks resident participation in scholarship as specified in the program requirements Prepare, maintain, and update residency database system materials and information (New Innovations, ACGME WebAds, ABIM) Attend and take minutes at program meetings and other committee meetings as necessary (PEC, CCC, GMEC, Faculty Meetings) Manage rotation payment processes, including tracking participation, coordinating documentation, and facilitating timely and accurate payment distribution Maintain confidential resident and faculty files including, but not limited to, physician licenses, certifications, continuing medical education funds and credentialing records Maintain biographical information on all residents and update information on alumni in a database Maintain and update program information on the CRHS IM website Provide other administrative assistance to Program Director and Associate Program Director Understands the dynamics and objectives of the Internal Medicine Residency Program and has in depth understanding of ACGME Institutional, Specialty and Program Requirements and Policies Demonstrates proficiency with computer application, online resources and equipment utilized by the department. Distribute weekly hospitalist schedules and monthly provider call schedules to residents Manage Death Certificate process for the hospitalist program, ensuring timely completion, accuracy, and compliance with institutional and regulatory requirements Coordinate with clinic staffing and scheduling for IM Continuity clinic, including residents, Site Director, and Precepting staff, ensuring appropriate provider coverage and alignment with resident and faculty availability Other duties as assigned by management. Qualifications Strong organizational skills Ability to multitask, prioritize competing priorities and meeting simultaneous deadlines Must be comfortable working independently and in a collaborative team environment consisting of diverse populations of staff, faculty, residents, and other administrative personnel Previous GME experience preferred but not required Other education and experience may be substituted (if applicable) for the required minimum job qualifications with the approval of the Corporate Director of Human Resources.
