JOB DESCRIPTION:

Provides support to Customer Service Team and international sales team with day to day processes, adheres to departmental SOPs and engages in effective, consistent communication in both Spanish and English. Supports mostly International customers on a daily basis, to include but not limited to: distributors, TOTO affiliates, company sales representatives, consumers and internal employees. Provides value-added services related to international shipments, with consistent application of U.S. export compliance requirements. Exhibits a high level of organization skills, attention to detail, accuracy and completeness related to all international business transactions.

KNOWLEDGE AND SKILLS:

  • Minimum Education Level: Associate’s Degree, preferred: Bachelor’s or equivalent work experience
  • Degree in Sales, Logistics, International studies/relations, or a related field preferred; or equivalent experience of (3-5) years in International Customer Service/Sales
  • Must be comfortable interacting with the general public, have good problem solving skills, possess empathy, be able to multitask, and have reliable internet.
  • Software Knowledge Requirements: at least intermediate level of Microsoft Excel, Exposure to J.D. Edwards, SAP or similar software. Salesforce.com, experience is a plus.
  • Excellent interpersonal, organizational, verbal and written communication skills. Exemplary attention to accuracy and details. Good follow up skills and customer first attitude required. Readily adapts to changing work environments, work priorities and organizational needs
  • Bilingual (English-Spanish) is required. Must read, write and speak both Spanish and English. Portuguese is a plus. Experience interacting with customers and colleagues globally is preferred.
    Monday - Friday 8:00 am - 5:00 pm ET, 1 hour lunch break
    Hybrid Work Schedule:<
    Office: 3 days, Monday - Wednesday
    Remote: 2 days, Thursday and Frida
Responsibilities

ESSENTIAL JOB DUTIES AND RESPONSIBILITIES

  • Resolves product/service problems and provides follow-up to ensure satisfactory resolution
  • Maintains knowledge of all sales programs, program conditions and SOPs that support international business requirements as it relates to direct shipments (factory to customer), TOTO affiliate POs and to the Latin American and Caribbean market
  • Establishes direct relationships with distributors within the Latin American/Caribbean market and with TOTO affiliates globally.
  • Establishes and maintains relationships with internal departments: Fulfillment, Logistics, distribution centers, assembly plants, Accounting Department, Purchasing Department and distributor freight forwarders to support international business requirements. Stays knowledgeable of individual country requirements (Customs compliance, Broker information, special instructions and requirements, Labeling and Pallet requirements) for applicable shipments
  • Meets and/or exceeds departmental KPIs within a team environment to increase customer satisfaction.
  • Works diligently to achieve or exceed all self-development KPIs
  • Manages receipt and processing of purchase orders submitted by distributors for export, and/or internal departments, international customers for direct shipments, and TOTO affiliates
  • Establishes and maintains effective and consistent communication via email, phone, Skype and Live Chat with distributors and assigned TOTO Sales Managers regarding purchase order processing and accuracy, job quote application, availability, pricing ETDs, and coordination of shipments.
  • Provides support to Sales Team by processing: Job Quotes, Sales Sample Requests, Claim Requests (RGA) and Warranty Requests as needed
  • Supports distributor requests for container calculations and freight quotations
  • Provides sales reports to the sales team: daily reporting (Open Order Status reports) and provides sales forecast for each month
  • Follows-up on ETA and inquiries related to status of stock, shipment/quote requests and export documents
  • Maintains proficient product knowledge to effectively answer customer inquiries regarding key features, functions and benefits of TOTO’s products. Maintains a working knowledge on product warranties, spare parts, and components
  • Regularly assists domestic customer service team with customer support (i.e.: live chats, cases and phone queue)
  • Represents TOTO to the general public and customer base with the utmost professionalism. Provides accurate, courteous and timely information when responding to customer concerns, comments, and/or questions
