YOUR ROLE

As a Service and Supply Administration Assistant, you’ll play a key role in keeping our service operations running smoothly. You’ll coordinate parts for jobs, keep customers informed, manage supplier follow ups, and maintain accurate inventory records. This role is a blend of hands on parts handling, admin precision, and proactive communication.

  • Pick and prepare parts for approved service jobs, updating paperwork and systems.
  • Generate and email orders for missing items to the Supply Manager.
  • Respond to customer queries with accurate updates as directed by the Service Manager.
  • Track service jobs, follow up on outstanding parts, and allocate stock where possible.
  • Perform regular cycle counts and update inventory schedules.
  • Arrange stock transfers for service vehicles and coordinate customer collections of repaired machines.
  • Liaise with suppliers to follow up purchase orders and back ordered parts.
  • Assist with scheduled servicing for larger machines.

You’re organised, proactive, and comfortable working across both administration and hands on tasks. You take pride in accuracy, enjoy solving problems, and can communicate confidently with customers, suppliers, and colleagues.

  • Previous experience in administration, supply, or service support roles.
  • Strong organisational skills with an eye for detail.
  • Able to prioritise tasks and manage multiple deadlines.
  • Confident in liaising with suppliers and following up orders.
  • Competent with inventory systems and basic computer skills.
  • Comfortable handling parts and coordinating stock movements.
  • Safety conscious, with an understanding of OHS processes.
  • A team player who can adapt to changing priorities
