CORE RESPONSIBILITIES
Order fulfilment & customer service
- Accurately key and process all wholesaler and customer orders in the inventory system (Unleashed) and despatch from the correct 3PL warehouse.
- Coordinate delivery time-slots, short-supply and out-of-stock communications, ETAs and overdue-order follow-ups with wholesaler stock controllers.
Stock & 3PL management
- Coordinate stock levels and movements across four national 3PL warehouses, including inter-warehouse transfers, damaged/short-life stock and pallet management.
- Reconcile stock-on-hand weekly between the source-of-truth system (Unleashed) and the 3PLs’ warehouse system (Carton Cloud); investigate and resolve discrepancies.
Excise & compliance
- Support the alcohol-excise despatch process - obtain delivery authorities (ATDs) and complete LAL (litres of alcohol) checks before stock release.
- Coordinate compliant stock disposal and excise reclaim, and prepare monthly container-deposit / EPA reporting (SA & NT) by the required deadline.
Forecasting & production support
- Support demand forecasting and the production plan - help compare sales run-rate, growth and known events against stock-on-hand to inform what to produce, how much and when.
- Raise and track production purchase orders with contract producers, accounting for lead times, minimum order quantities and volume-based pricing, to help keep stock available without over-producing.
- Support new-product development (production scheduling, packaging, barcodes/GS1) from concept to first order.
Reporting & master data
- Produce sales reports for the national sales team - by SKU, customer, state and sales manager - and support the company dashboard.
- Maintain master data: product/article and barcode setup, new supplier applications, and customer/pricing configuration.
Collaboration & continuous improvement
- Document and maintain operational processes so key knowledge is captured and not single-person dependent.
- Maintain day-to-day producer, 3PL and wholesaler contact and support operations in cross-department planning.
What success looks like (KPIs)
- Best-selling SKUs stay in stock; stock-outs on core lines are rare and short.
- Orders are keyed and despatched accurately and on time; overdue/unfulfilled POs are minimal.
- Stock-on-hand reconciles cleanly between Unleashed and the 3PLs each week.
- All excise and EPA/compliance obligations are met on time
- Production runs are timed and sized to demand - good availability without excess stock or tied-up cash/excise.
- Sales and operational reporting is accurate, consistent and on schedule.

About The Role
We’re looking for a proactive, detail-obsessed Inventory Coordinator to take ownership of stock accuracy and flow across our Distribution Centre. As a member of our DC team, you’ll oversee inventory integrity, storage optimisation and replenishment — ensuring our products move quickly, efficiently and accurately between all touch points.
Your responsibilities will include:
- Maintaining highly accurate inventory, stock locations and cycle counts
- Optimising storage, replenishment and pick efficiency
- Coordinating inbound stock, container unloads and returns processing
- Partnering with Planning, Production and DC teams to resolve stock and supplier issues
This is a full-time, Monday - Friday, on site role based in our Reservoir Distribution Centre – 6am starts are non-negotiable (we are open to considering part-time for the right candidate).
