Position Description The Investment Support Specialist supports Shepherd Financial’s investment management functions by conducting research and preparing reports. This role ensures all investment-related reports, records, and processes are accurate, compliant, and aligned with client objectives. The Investment Support Specialist also serves as a subject matter expert for key investment and client management systems, contributes to internal investment discussions, and assists with the evaluation and implementation of new tools and technology to improve efficiency and reporting. Primary responsibilities support investment activities for retirement plan clients, with additional support for the wealth management function as needed. Requirements Role Objectives The Investment Support Specialist delivers high-quality, accurate, and timely investment support to strengthen the firm’s fiduciary responsibilities and client service. Core objectives include preparing investment monitoring reports, developing materials for client and prospect meetings, and maintaining detailed investment records. Success in this role is measured by accuracy, consistency, and responsiveness in supporting investment decision-making, client service, and internal processes. Core Responsibilities Investment Research, Reporting & Meeting Support Prepare and maintain quarterly monitoring reports for retirement plans Support the sales process and new client onboarding by creating initial drafts of investment reports, mappings, style boxes, performance comparisons, and other materials aligned with the Shepherd investment process Review and ensure accuracy of all investment-related reports and resources for client and internal meeting agendas Gather, organize and provide plan participant demographic data support for Qualified Default Investment Alternative (QDIA reviews) Draft QDIA notices for plan sponsors annually (when not prepared by the recordkeeper) Create client-specific fund notes using prepared templates to assist the Director of Investment Management in documenting fund actions Generate quarterly fact sheets for wealth management team members Prepare investment reports for internal 3(38) meetings as assigned Prepare ad-hoc reports as needed Trade Execution & Portfolio Management Track fund changes for 3(21) and 3(38) clients as directed, ensuring proper documentation and communication Maintain accurate records related to vendor change forms, participant notices, and collective investment trust participation agreements Track and maintain fund availability by recordkeeper, with updates to be made quarterly Proactively communicate positions with external wholesalers as needed for institutional clients Stay current on available investment vehicles, including mutual funds, collective investment trusts, ETFs, and separate accounts, to support investment monitoring and reporting Systems, Data & Process Management Serve as a subject matter expert for Envestnet and Redtail CRM for investment workflows, reporting, and troubleshooting Conduct quarterly audits of the book of business to ensure investment holdings are complete and accurate Participate in quarter-end processes, including data audits, reporting, and billing Update synthetic return data in Envestnet quarterly to support performance presentations for clients Assist in evaluating and implementing new investment technology or tools to improve efficiency and reporting Position Expectations Bachelor’s degree in Finance, Economics, Business, or related field required 2+ years of experience in financial services role preferred History of emphasizing and implementing improvements in efficiency, productivity, and organizational consistency Strong analytical skills with the ability to interpret complex investment data and prepare clear summaries Proficiency in Microsoft Office Suite, especially Excel and PowerPoint; familiarity with Envestnet and Redtail CRM preferred Exceptional attention to detail and accuracy in all investment-related work Strong organizational skills with the ability to manage multiple priorities and meet deadlines Effective written and verbal communication skills for internal collaboration Ability to work independently within defined processes and under the direction of senior leadership High level of professionalism, integrity, and adherence to regulatory requirements Compliance with Shepherd Financial’s internal policies Begin each business day no later than 8:30 am Adhere to Shepherd Financial’s Work From Home policy by working in the office four days per week and remotely one day per week, unless otherwise approved Compensation & Benefits Salary plus incentive-based salary enhancement for new annualized recurring revenue from either retirement plans or wealth management referrals Discretionary year-end performance bonus Paid time off (Holidays, PTO, Volunteer days), 401(k) match, and medical, term life, and disability insurance Additional benefit options: dental, vision, voluntary life, critical illness and accident, LifeLock Financial support for professional accreditation/license fees and continuing education
