POSITION SUMMARY

The IT Department Assistant is responsible for supporting the IT team with daily operations, data entry, scheduling, record-keeping, and internal communications across all departments at Ariel.

Responsibilities

ESSENTIAL DUTIES AND RESPONSIBILITIES (NOT ALL DUTIES WILL BE PERFORMED BY ALL INCUMBENTS)

  1. Maintain strict confidentiality of sensitive information and ensure compliance with data privacy policies and organizational standards.
  2. Deliver exceptional customer service to both internal team members and external clients.
  3. Conduct regular audits of user accounts across Active Directory, property agreements/SnipeIT, Paylocity, Therap, and ZIX to ensure accuracy and compliance.
  4. Maintain and manage property and equipment records using SnipeIT, including tracking phone numbers and cell phone billing.
  5. Oversee maintenance scheduling, equipment warranties, and end-of-life processes, including recycling
    and proper decommissioning.
  6. Coordinate and schedule with staff; IT orientation, training, and annual mandatory security training sessions.
  7. Perform annual password updates and ensure adherence to organizational security protocols.
  8. Manage scheduled meetings, follow up on action items, and facilitate onboarding communications such as new hire emails.
  9. Perform scanning and digitization of documents as needed for IT and administrative purposes.
  10. Post monthly IT tips and updates on the organization’s internal communication platform (Engage).
  11. Handle procurement activities, including ordering and purchasing of IT equipment and supplies.

ADDITIONAL DUTIES AND RESPONSIBILITIES

  1. Must work closely with other Ariel Programs and offices.
