JOB SUMMARY

We are seeking an experienced IT Manager to oversee our organization’s technology infrastructure and ensure the effective delivery of IT services. The ideal candidate will have a strong background in managing IT projects, leading technical support teams, and implementing best practices in IT service management. This role requires a blend of technical expertise, leadership skills, and strategic thinking to align IT initiatives with business goals.

EXPERIENCE

  • Proven experience in an IT management role with a strong understanding of IT governance frameworks such as ITIL.
  • Familiarity with project management tools such as Jira and ServiceNow.
  • Experience in managing Windows Server environments, including IIS configuration and Microsoft Office applications (Word, Excel, PowerPoint).
  • Demonstrated leadership capabilities with experience supervising technical teams.
  • Excellent communication skills with the ability to convey technical concepts to non-technical stakeholders.
  • Relevant certifications in information security or project management are a plus

Responsibilities

JOB RESPONSIBILITIES

Responsible for all work as it relates to the bidding, procurement and scheduling of the Hardware Department. Providing direct oversight for Scheduling, procurement and Billing.
Monitor monthly support hours to ensure clients are being adequately supported based on contracted hours.
Work with ownership to Manage and monitor all hardware support contracts to ensure annual renewals are not missed, rates are appropriately adjusted, and contracts are not expired.
Follow up on all evaluations and opportunities to ensure something is not missed or over looked. Ensure Follow up calls are made and quotes for opportunities are sent out on time. (Managing Opportunities)
Communication is of the upmost importance and keeps clients updated on tickets status and opportunities, (Client Communication)
Ticket/Queue Management emergency tickets, schedule open tickets, work with purchasing to ensure all equipment has been ordered for the tickets before scheduled. Communicate with techs and director to address aging tickets.
Coordination of project materials is necessary to ensure project timelines are met on Tickets and special projects.
Review monthly invoices for accuracy before mailed to client – Educate team on billing practices and documentation.
Work with Accounting office to Reconcile and manage all contract billing and Service Contracts etc. to ensure we are identifying, educating on our services and capturing any additional needs with clients.
Assist to Handle customer/Client relations
· Meetings with Clients.
Project Management -
Estimating Projects and Hardware – work with leadership on quote preparation.
o Putting the estimate together and verifying information.
o Providing it to Leadership to review before publishing the estimate to the customer.
o Winning an estimate if it is accepted and converting it to a ticket to ensure the team has the work scheduled and parts are ordered.
o Conferring with clients on what they need and providing them with the information needed to decide on what to estimate.
· Enter all Contracts into Autotask and Re-new Contracts.
· Assisting the Finance Department with Ticket and Project information related to billing.
· Coordinate with the Finance Department with questions related to Services we are billing including (Autotask Endpoint Management, Anti-Virus, Email Hosting, Off-Site Backup hosting, Email Encryption and Spam Filtering, Asset Tiger, Domain Hosting, Security Certificates, Preventative Maintenance Contracts, Support Contracts, Internet Contracts)
· Prepare Tech Scheduling and monitor workload against tickets
· Manage, Monitor and report productivity on a weekly basis
· Manage, Monitor and report Support ticket requirements on a weekly basis
· Manage, monitor and report opportunities on a weekly basis
· Assist Techs with problem solving
· Customer Relations – Work very often with customers and Businesses
· Other Duties as assigned

RESPONSIBILITIES

  • Lead and manage the IT department, ensuring efficient operation of all technology systems.
  • Oversee the implementation and maintenance of IT infrastructure, including servers, networks, and databases.
  • Develop and enforce IT policies and procedures to ensure information security and compliance with industry standards.
  • Manage vendor relationships and negotiate contracts for hardware and software procurement.
  • Coordinate disaster recovery and business continuity planning to minimize downtime.
  • Provide technical support for end-users, ensuring timely resolution of issues related to desktop support, network connectivity, and server management.
  • Collaborate with cross-functional teams to drive IT projects using Agile methodologies.
  • Monitor system performance using tools such as SolarWinds and manage network security protocols including firewalls and Active Directory.
  • Conduct regular audits of systems and processes to identify areas for improvement.
  • Prepare reports on IT performance metrics for senior management.
