QUALIFICATIONS & EXPERIENCE:

  • 1–3 years’ experience in an administrative, coordination, or project support role, preferably in a clinical, technical or IT environment
  • Working knowledge of IT concepts and terminology.
  • Proficient in Microsoft Office applications and project tools such as MS Project or Smartsheet.
  • Excellent interpersonal, verbal, and written communication skills.
  • Strong organisational and multitasking capabilities, with high attention to detail.
  • Demonstrated flexibility to manage changing priorities.
  • Experience in clinical setting is advantageous.
  • Bachelor’s degree in Information Technology, Business Administration, or a related discipline is advantageous
  • A valid driving licence is required.
  • Must be eligible to work in Ireland without sponsorship
Responsibilities

OVERVIEW OF ROLE:

UPMC Ireland is currently recruiting an IT Project & Process Coordinator to join our expanding team.. The successful candidate will be responsible for ensuring effective coordination, documentation, and communication across various IT initiatives. This position is ideal for a highly organised individual with a strong attention to detail, excellent communication skills, and the ability to work across time zones (primarily Irish and Central European US). Please note: This is strictly an administrative role with no direct project management responsibilities.

PRIMARY DUTIES AND RESPONSIBILITIES:

  • Support the IT department in its delivery of projects.
  • Coordinate resource availability and logistics to support the execution of IT projects.
  • Assist with the management of purchase orders and invoices
  • Organise and maintain document repositories ensuring up-to-date version control.
  • Support the onboarding process for project team members by ensuring access to relevant systems and tools.
  • Maintain and administer the Portfolio Management System and ensure data accuracy.
  • Liaise with internal departments including procurement, finance, and HR as required.
  • Support the business in compiling submissions for vendor security reviews when onboarding new systems, equipment or applications
  • Coordinating the vendor security review board
  • Ongoing monitoring of vendor security reviews from initiation to completion
