JOB SUMMARY:

The IT Specialist is responsible for maintaining and supporting the technology infrastructure of the Homeowners Association. This includes overseeing website management, ensuring data security, supporting HOA software systems, managing email and communications platforms, and assisting with any technology needs for board meetings and community communication.

Key Responsibilities:

  • Website Management:
  • Maintain and update the HOA website with meeting minutes, documents, notices, and announcements.
  • Ensure the website is secure, accessible, and user-friendly.
  • Email & Communication Tools:
  • Manage HOA email accounts, distribution lists, and communication tools (e.g. Mailchimp, Constant Contact).
  • Troubleshoot email delivery issues.
  • Data Security & Backup:
  • Implement and maintain secure data storage practices for HOA documents and homeowner information.
  • Perform regular backups and ensure data privacy compliance.
  • Software & System Support:
  • Provide support for HOA management software (e.g. accounting, resident portals, payment systems).
  • Troubleshoot technical issues with HOA-provided tools and systems.
  • Meeting Technology:
  • Set up and support technology for virtual and in-person board meetings (Zoom, microphones, projectors, etc.).
  • Ensure AV equipment is functioning and ready.
  • Vendor & Contract Management:
  • Liaise with technology vendors (internet providers, software support, etc.) as needed.
  • Monitor and recommend technology upgrades.
  • Cybersecurity Awareness:
  • Monitor for suspicious activity or phishing attempts related to HOA operations.
  • Educate board members on safe tech practices.

Qualifications:

  • Associate’s or Bachelor’s degree in IT, Computer Science, or related field (or equivalent experience)
  • Experience managing websites (WordPress, Wix, etc.)
  • Knowledge of cybersecurity best practices
  • Familiarity with HOA management or accounting software a plus
  • Strong problem-solving and communication skills
  • Ability to work independently and manage multiple priorities

Preferred Experience:

  • Prior work with a nonprofit, HOA, or small organization
  • Experience with hybrid meeting technology (Zoom, Google Meet, etc.)
  • Basic knowledge of networking and wireless systems
