Description Position Summary The IT Systems Specialist administers the firm's case management platform suite (Filevine, Lead Docket, and Vinesign) in close partnership with the Workers' Compensation and Personal Injury departments. The Specialist translates stakeholder needs into platform configurations, builds ad hoc reports that empower managers and executives to make timely decisions, and coordinates with vendor support and internal IT to resolve issues and ship improvements. Essential Duties and Responsibilities The essential functions include, but are not limited to the following: Administering Filevine, Lead Docket, and Vinesign, including project templates, workflows, custom fields, document templates, and user permissions Building ad hoc reports in the Filevine Report Builder to answer questions from WC and PI managers and executives on demand Consulting with department stakeholders, the IT Data Specialist, and the IT Software Development Specialist to scope, prioritize, and document platform improvements Translating stakeholder workflow requirements into clear platform configurations, integration specs, or automation requests Triaging bugs and platform issues reported by end users, and coordinating escalation with Filevine, Lead Docket, and Vinesign vendor representatives Writing and maintaining basic scripts and automations against the Filevine API to streamline recurring tasks and integrate with internal tools Training WC and PI team members on running personal reports and using platform features effectively Creating and updating documentation for workflows, configurations, reports, and known issues Driving & flying to secondary office locations as requested Performing other duties as assigned Requirements Required Qualifications (Knowledge, Skills, and Abilities) High School diploma or equivalent 2+ years of experience administering a SaaS business platform (CRM, case management, ERP, HRIS, or similar) Extensive experience with Microsoft Excel, including advanced formulas, pivot tables, and lookups Strong written and verbal communication skills, with demonstrated ability to gather requirements from non-technical stakeholders and translate them into clear solutions Demonstrated ability to learn complex software platforms quickly and become a subject-matter expert Basic understanding of REST APIs, JSON, and structured data Independent learner with the willingness to research and troubleshoot problems Committed to full-time in-office work in our Las Vegas office A valid Nevada driver license, valid auto insurance, and proof of driving record Committed to maintaining integrity and confidentiality on behalf of clients and the Firm Preferred Qualifications (Knowledge, Skills, and Abilities) Experience administering Filevine, Lead Docket, Vinesign, or a comparable legal case management platform Proficient with Microsoft Power BI or a comparable self-service reporting tool 1+ years of C# experience, including writing basic scripts or Azure Functions for automation Bachelor's degree in Information Technology, Business, or a related field
