Location: Remote within the continental US -Please note: the job duties and responsibilities of this role are unable to be performed in California and Washington state at this time.
Hiring Range: This position’s hiring range is anticipated to be $58,656 to $66,000, annually, depending on experience, plus great benefits!
This role works on a schedule of Monday – Friday, 8 am – 5 pm Mountain Standard Time Zone hours (there may be occasions where working outside the listed scheduled is required).
Manager interviews will begin March 26th (recruiter phone screens will occur prior to a manager interview).
Position Summary: Our digital workplace strategy is a full approach that aligns internal culture, operational processes, and technology to help Best Friends get things done efficiently and well in a digital workplace. In this role you’ll assist with day-to-day administration of the organization’s ITSM tool(s), user administration, and configure and convert critical business needs into technical specifications and workflows for new implementations as well as for ongoing maintenance. The specialist will take part in helping successfully execute all aspects of the technology training program strategy to educate the organization use of business tools. This position is a bridge between business challenges and technical solutions and brings demonstrated technical abilities, problem solving, and skilled communication to improve and grow the workplace experience.

SKILLS & EXPERIENCE

  • Minimum of 2 years’ experience with IT systems administration, management, maintenance, design, development, workflows, business rules, and other configuration of software applications. Experience with Fresh Service/Fresh Works or a similar system is strongly preferred.
  • 2+ years of demonstrated experience delivering successful technology training, with an understanding of best practices, success measures, delivery tools and user experience. Subject matter expert and experience with training on Office 365 products is required (Email, Teams, Calendar, SharePoint, and Office products.) Workday LMS experience not required but preferred.
  • Minimum 2 years demonstrated experience understanding business needs and translate them into technical solutions.
  • Excellent written and verbal communication and collaboration skills required with a high degree of professionalism.
  • Requires an extreme attention to detail. Must be meticulous and thorough in all work performed.
  • Demonstrated initiative and self-motivation to follow-through on areas of responsibility, with minimal supervision, high degree of reliability, and an adaptable “can do” attitude.
  • Comfortable with presenting both through recorded and in person mediums.

PHYSICAL REQUIREMENTS

  • Able to work at a computer for extended periods of time with repetitive typing, arm and hand motion.
  • Flexibility to work weekends, holidays, and evening hours as needed in addition to normal business hours.
  • Must have a valid driver’s license for at least 3 years, ability to qualify to be added to Best Friends insurance, ability to travel and/or drive on behalf of Best Friends, including overnight stays, when needed. Travel could be up to 10%

Responsibilities

  • Provide administrative and configuration support for our ITSM system tools, including user management, workflows, business rules, knowledge base, documentation, and other system requirements.
  • Responsible for assisting ITSM Administrator with consulting, analyzing, planning, designing, implementing, and testing the service management tool.
  • Demonstrate experience and critical thinking relating to the digital workplace tools that our organization uses (with a focus on the Office365 environment) and participate in the roadmap process for those technologies in collaboration with other stakeholders and teams.
  • Provide support to staff for digital workplace tools, in collaboration with Help Desk team.
  • Responsible for creating and maintaining the training program, SharePoint site, and training materials, which may include live, recorded video, documented resources, and LMS system.
  • Responsible for communicating O365 feature announcements and retirements.
  • Collaborate with Human Resources on employee technology experiences in the onboarding process and provide resources as necessary.
  • Exercise independent judgment and bring forth data-driven recommendations and insights to inform decision making on organization-wide tools and processes.
  • Stay current on upcoming features of collaboration tools and help business adopt changes.
  • Build and manage trusted relationships throughout the organization through formal and informal timely communications.
  • Contribute to business processes and policies that define operations for digital workplace systems and processes.
  • Gather and analyze feedback on training and tools programs for actionable insights into how to optimize tools for great user experiences.
