Position Overview:
The Administrative Assistant is responsible for handling all administrative functions associated with merchandise procurement. This role will support all aspects of purchase order processing and general administration support to the Buying Department.
Job Duties:
· Process all purchase orders within set timelines
· Review orders on a weekly basis, ensuring there are no outstanding purchase orders
· Ensure orders and related worksheets for accuracy
· Respond to suppliers questions regarding purchase orders, price tickets, extension requests and shipping instructions
· Open Order Report - complete all received orders, ensure accuracy of information on report, and list vessel information for import orders. Finalize and submit the open order report to Senior Management on a weekly basis
· Pull merchandise for line reviews
· Create and maintain computer file system for all vendor communication
· Create Excel reports as required
· Partner with buyers to manage sample inventory and prepare for sample sales on weekly basis
· Develop relationships with vendors and suppliers and communicate regularly to ensure product development, initiation of new orders, revisions, cancellations, shipping, packing and arrival dates
· Manage, prepare and adjust ticket, class and request terms in system
· Communicate with warehouse and allocations department regarding any discrepancies and changes with goods
· Send samples to vendors
· Make travel arrangements as required
· Assist senior management as required
Qualifications
· Post-secondary education in Fashion
· 1-2 years related work experience
· Knowledge of merchandising and product knowledge within the garment industry
· Proficient in Microsoft Office and AS400
