Job Purpose: The Junior Administrator provides administrative and operational support to ensure the smooth running of daily company activities. This role assists with document management, communication, scheduling, and general administrative tasks while supporting the wider team and maintaining efficient processes. Duties and Responsibilities: Administrative Support Provide day-to-day administrative support to the company and team members Prepare spreadsheets, and reports Maintain organized filing systems On-boarding of new clients in sign on software Complete exit processes for ex-clients Assist with internal client marketing activates as required. Companies office management ACC system management Communication & Frontline Support Respond to general email enquiries Direct enquiries to appropriate team members Scheduling & Coordination Assist with scheduling meetings, appointments, and bookings Data Entry & Record Management Enter and update information in company databases and systems Maintain accurate records and documentation Ensure files and records are stored according to company procedures Office Operations Co-ordinate IRD mail Assist with onboarding administration for new employees Assist with IRD Tax agency management Financial Administration Support Support reconciliation tasks Team & Project Support Provide administrative assistance to projects and operational tasks Support preparation of reports and documentation for management Compliance & Confidentiality Maintain confidentiality of company and client information Follow company policies and administrative procedures Skills and Qualifications Technical Skills Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint) Basic data entry and record management skills Familiarity with office systems or XPM(Xero) software (preferred) Organizational Skills Strong attention to detail Ability to manage multiple tasks and priorities Good time management and planning skills Communication Skills Clear written and verbal communication Professional phone and email etiquette Ability to interact with staff, clients, and external stakeholders Personal Attributes Reliable and proactive Willingness to learn and develop new skills Team-oriented with a positive attitude High level of discretion and professionalism Qualifications & Experience Experience with Xero is an advantage Work Set-up: Hybrid Work Schedule: Day shift This position is exclusively open to Philippine citizens currently living in the Philippines.
