Responsibilities

An exciting opportunity has opened up at the by charlotte head office for a Junior Executive Assistant to support two executive leaders and ensure the smooth-running of our office and facilities. On a day to day basis you will:

  • Optimise the effectiveness and efficiency of executive leadership time and attention.
  • Schedule appointments, managing calendars, and coordinating meetings for executives.
  • Manage emails, phone calls, and other forms of communication on behalf of executives.
  • Organise travel itineraries, booking flights and accommodations, and manage related logistics.
  • Prepare agendas, taking minutes, and coordinating logistics for meetings.
  • Liaise with external stakeholders on behalf of the executive leadership team as directed.
  • Track and expense invoices and receipts, and assist with other approved financial tasks as directed.
  • Provide ad-hoc personal assistance to executives as required.
  • Plan and executive events for executives, and the company in collaboration with the People and Culture Team.
  • Oversee office and facilities management, maintenance and administration to the highest standard.
  • Handle sensitive information with discretion and maintain confidentiality.
