We are hiring a Junior Executive Assistant – Operations & Research to support a manager across scheduling, communication, research, logistics, and day-to-day execution. This is an early-career role (preferably 0–2 years of experience) for someone who is highly organized, responsive, disciplined, and excels in being the right hand of a decision maker. It is for someone eager to grow into executive assistance through hands-on experience. This role requires someone who is comfortable moving around frequently, handling in-person coordination, and supporting both administrative and field-based tasks. Responsibilities include calendar support, external communication, vendor and product research, technical and operational coordination, purchase and booking support, and on-the-ground follow-through as needed. The ideal candidate enjoys researching solutions, comparing options carefully, planning ahead, and communicating clearly. They should be financially aware, resourceful, comfortable with technical subject matter at a practical level, and capable of turning complex or ambiguous requests into organized action. Key Responsibilities Executive Support and Coordination Support the manager with scheduling, planning, organization, and task follow-through Manage calendar updates, appointments, reminders, and meeting coordination Track priorities and deadlines to ensure timely execution Research, Technical Coordination, and Decision Support Research vendors, tools, products, services, and technical options Summarize findings clearly and provide practical recommendations Compare costs, timelines, quality, and tradeoffs to support decisions Assist with sourcing, booking, purchasing, and follow-up with external parties Field Coordination and Mobility Travel frequently between locations to complete tasks and support operational needs Handle in-person coordination, errands, pickups, site visits, and external follow-up Move flexibly between field, office, and remote support work Communication and Follow-Up Communicate professionally on the managers behalf through WhatsApp, email, phone, and in person Draft messages, confirmations, updates, and follow-ups Keep the manager informed on relevant developments and open items Administrative and Financial Awareness Support bookings, purchases, and coordination with budget awareness Compare prices and service options before recommending action Keep records, receipts, and expense-related information organized Requirements 0–2 years of experience in administrative support, coordination, operations, or a similar early-career role Strong organizational and task management with proven ability to manage schedules, calendars, reminders, and changing priorities effectively Verbal and written communication skills in Arabic and English at B2/C1 level Ability to draft professional emails, follow-up messages, and written updates with clarity and accuracy Good proficiency in Microsoft Excel Comfortable using AI tools such as Claude, ChatGPT, or similar tools for research, writing support, summarization, and productivity improvement Strong research and coordination skills, including comparing vendors, products, services, costs, and timelines Financial awareness and sound judgment when supporting purchases, bookings, and service coordination Comfortable with frequent movement between locations and handling in-person coordination tasks Able to work in a fast-paced environment with discipline, responsiveness, and strong follow-through Professional, discreet, and dependable in handling sensitive or high-priority matters Motivated to grow into a long-term executive assistant career path Preferred Qualities Systems thinker who can connect tasks, dependencies, and priorities Resourceful and proactive, with a bias toward solving problems rather than waiting for instructions Comfortable working with technical, operational, or logistics-related requests Strong follow-up habits and ability to close loops Positive attitude toward planning, coordination, communication, and service Flexible and dependable in a fast-moving environment Success in This Role Looks Like The managers time is better organized and protected Research is turned into clear, decision-ready recommendations Tasks move forward without repeated follow-up Communication stays professional, timely, and organized In-person and remote coordination are handled smoothly Operational details are managed with discipline and reliability
