Position Summary:
The Junior Group Sales Administrator plays a vital support and coordination role within the Sales & Marketing department at The Claridge Hotel. This position assists the Group Sales team with administrative functions, client communication, and sales support duties. Additionally, the Junior Group Sales Administrator will take on light Junior Sales Manager responsibilities, including coordinating group billing, payment follow-up, and occasional direct communication with clients for smaller group accounts. This role is ideal for someone looking to grow into a sales management position.
Key Responsibilities:
Administrative Support
- Prepare and manage group contracts, proposals, and event confirmations.
- Maintain accurate records and documentation for all group bookings and correspondence.
- Generate sales reports, pace reports, and booking summaries on a scheduled basis.
- Manage the group sales inbox, routing inquiries and responding professionally.
Client Communication & Coordination
- Serve as a liaison between clients and departments (banquets, front office, housekeeping) to ensure accurate execution of group details.
- Schedule and conduct site inspections or walk-throughs as needed.
- Confirm group details, rooming lists, cutoff dates, and special requests.
Sales & Booking Systems
- Input group bookings, room blocks, and event space in Opera, under supervision.
- Monitor room block pickup and update systems accordingly.
- Assist with group resumes, and pre-arrival documentation.
Junior Sales Manager Duties
- Coordinate group payment schedules, deposits, and final billing with accounting.
- Prepare billing summaries and review charges for accuracy prior to client invoicing.
- Communicate directly with clients regarding payment deadlines, invoice clarifications, and post-event reconciliations.
- Handle small group inquiries and accounts from initial booking to departure with guidance from senior sales staff.
- Assist in upselling amenities or enhancements for small or returning groups.
Event Preparation & Execution
- Assist with the creation of welcome letters, itineraries, signage, and VIP amenities.
- Ensure all operational teams are briefed on group needs for arrivals and events.
- Participate in pre-convention and post-event meetings as needed.
Miscellaneous
- Help prepare marketing collateral, client gifts, and presentations.
- Maintain the professional appearance and functionality of the sales office.
- Support sales initiatives and attend on-property events or community functions when required.
- Other duties as assigned to support the success of the sales team.
Qualifications:
- High School Diploma required; Associate’s or Bachelor’s degree in Hospitality, Business, or related field preferred.
- 1–2 years of administrative, front desk, or hotel sales experience preferred.
- Understanding of hotel operations and group booking processes.
- Strong attention to detail and organizational skills.
- Excellent communication skills and professional demeanor.
- Proficiency in Microsoft Office (Word, Excel, Outlook); Opera PMS or Delphi system experience a plus.
- Ability to handle sensitive client and billing information with discretion.
Working Conditions:
- Primarily an office environment with some time spent on hotel floors for site inspections and group coordination.
- May be required to work occasional weekends, holidays, or evenings depending on group or event needs.
Compensation:
Hourly Rate + Commission
