The Junior Office Support Specialist is responsible for supporting the Pine Hill Office Manager and the Performance Solutions Division Project Team in creating a comfortable, effective, efficient, and fun professional environment at the Antech Systems Pine Hill (Lexington Park, MD) Office. This position may be particularly well-suited for a current college student seeking part-time work, though student status is not required. It offers opportunities to support the office environment while also allowing for periods of quiet that may accommodate independent tasks such as studying. This at least 20 hour per week (50% part-time with benefits) position will require the successful candidate to be at the Pine Hill Office on a schedule developed with the Office Manager for each month by the 22nd of each previous month. The typical work week will be 3-5 days and 20-24 hours, with occasional needs of supporting other schedules or adjusting for weekend coverage. The Office Manager may ask for support altering the scheduled hours on days several times a year to accommodate emergent special events or optimize reception coverage when others may be out of the office. Schedule adjustments would be communicated at least 2 weeks in advance unless the need is due to an imminent emergent situation.
Applicants must have a high school diploma/general equivalency diploma (GED) with at least 3 years’ experience in office support, project support or service sector work. A candidate with a completed associate’s degree, or two years of college credit having a 3.2 or higher GPA, in Business, Management, Art, Graphics Design, Engineering, Math, Computer Science, Software, or Information Technology will only be required to have 1 year of office or service-sector experience Such candidates may be given additional consideration during the evaluation process based on the relevance of their education to the role.
Duties/Responsibilities - Administrative Duties under the direction of the Pine Hill Office Manager, EVP or directed individual designated by one of these two include:
- Greeting visitors and directing them to the proper location ensuring they have the access and resources required and that their Antech sponsors are aware of their presence and location.
- Assisting in preparing facilities, food, and materials for scheduled meetings and providing information on facility calendar to assist others in planning.
- Setting up and configuring conference rooms for presentations.
- Performing general administrative duties including those associated with business support functions within the organization, including facilities planning, supply procurement and organization, property management, purchasing and/or security.
- Maintain compliance with office safety protocols and emergency inspection schedules.
- Assisting in office set up and arrangement.
- Conduct daily and after meeting checks to verify the professional presentation of the office spaces and resolve issues proactively.
- Collect mail daily and receive packages on behalf of Antech Systems while at the office.
- Provide light cleaning and environmental decoration duties.
- Communicating discrepancies with any facility or supplies and assisting in vendor monitoring when required.
- Assisting in organization for social and business events.
- Tracking supplies, office materials, equipment, and other assigned controlled materials.
- Placing, tracking and collection of supply orders.
- Inputting data in the company IT system, generates reports, etc.
- Support meetings and events with note taking, general technical editing, and material production.
- Maintain compliance with office safety protocols and emergency inspection schedules.
REQUIRED SKILLS & DEMONSTRATED ATTRIBUTES:
- Ability to greet and engage individuals attending or calling Antech’s Pine Hill Office in a professional, pleasant manner that puts them at ease.
- Ability to ensure visitors and materials under office control are only in designated spaces and controlled in a manner appropriate for a Controlled Unclassified Information (CUI) environment.
- Ability to follow, maintain, and work to collaboratively refine office and project processes, as well as site/Team policies and procedures.
- Ability to follow and implement written directions, policy, and guidance, as well as verbal directions.
- Excellent time management skills and ability to multi-task work in a prioritized manner.
- Ability to multi-task and ask effective questions for productive work and work balancing while executing repetitive tasks with minimal supervision.
- Demonstrated attention to detail and ability to track work in a fast-paced environment.
- Ability to manage a personal and office schedules with punctuality, grace, and calm execution.
- Excellent written and oral communication skills.
- Ability to lift and carry at least 30 pounds.
- Basic computer skills and capabilities with MS Office products especially MS Word, Excel, and Outlook.
- Ability to pass drug screen, criminal and financial related background checks.
Salary Range: $19.25 to $22.25 per hour - Antech applies several factors to determine each individual’s appropriate salary component in their compensation package, including but not limited to location, the individual’s particular combination of education, knowledge, skills, competencies, and experience, as well as contract-specific elements and broader organizational requirements. The range displayed represents the overall expected salary range for this position and is just one component of Antech’s total compensation package for employees.
