We are seeking a proactive and versatile Junior Operations Specialist specializing in Supply Chain. Based at our headquarters in Tallahassee, this role is fundamental to ensuring our field inspectors are fully equipped and supported. This specialist will manage the procurement and shipping of essential supplies and equipment, assist in overseeing all aspects of device management for our mobile workforce, and provide crucial administrative and reporting support to various operational and administrative departments. This position requires strong organizational skills, technical aptitude, and a proactive approach to managing vendor relationships and internal systems, including extensive use of Google Workspace.

Qualifications:

  • Minimum of 6 months - 1 year of experience in supply chain, procurement, operations support, or IT administration, preferably within a fast-paced environment.
  • Demonstrated experience with device management (MDM platforms like Jamf preferred) and cellular data management.
  • Proven proficiency in managing vendor relationships and negotiating basic terms.
  • Strong administrative skills with experience in data entry, report generation, and supporting multiple departments.
  • Advanced proficiency as an administrator and power user of Google Workspace (Gmail, Drive, Docs, Sheets, Calendar, Meet). Demonstrated experience and strong aptitude for utilizing AI tools, particularly with advanced Gemini prompting skills.
  • Excellent organizational skills and meticulous attention to detail.
  • Strong problem-solving abilities and a proactive approach to operational challenges.
  • Exceptional communication (written and verbal) and interpersonal skills.
  • Ability to work independently and collaboratively within a dynamic team environment.
  • Valid driver’s license with a clean driving record

Responsibilities

Supply Chain & Procurement Management:

  • Manage the end-to-end procurement process for all inspector supplies and specialized equipment (e.g., safety equipment, tools, replenishable materials, and keys).
  • Coordinate shipping, receiving, and inventory management of supplies and equipment to ensure timely delivery to field teams across the country.
  • Optimize purchasing processes to ensure cost-effectiveness and timely availability of necessary items.

Device Management, Setup, & Support:

  • Manage the lifecycle of all company devices, including procurement, deployment, replacements, repairs, mobile device management (MDM) enrollment, device maintenance, and ongoing support.
  • Oversee cellular data plans and usage for all field devices, optimizing plans and troubleshooting connectivity issues.
  • Provide first-line support for device-related inquiries and issues from staff.

Administrative & Reporting Support:

  • Provide dedicated administrative support to the fleet manager, assisting with report generation, KPI tracking, and data entry related to fleet operations.
  • Support Human Resources with administrative tasks, data compilation, general employee appreciation tasks, and report generation related to personnel and training compliance.
  • Assist the Finance department with administrative duties, data reconciliation, and report/KPI generation related to operational costs and inventory.

Vendor Relationship Management:

  • Serve as the primary point of contact and manage relationships with key technology and supply vendors - including, but not limited to, Verizon, Jamf Pro MDM, Redwire, UPS, USPS, SourceNA, Bolger Brothers, NTIC, CDW, and New Pig.
  • Ensure favorable terms, timely service, and efficient problem resolution with all managed vendors.

System Proficiency & Management:

  • Develop proficiency and help manage a variety of platforms, data, and systems within software such as JAMF Pro, Google Workspace (Sheets, Docs, Forms, etc.), monday.com, Ford Pro, Fleetio, eFleets, Google Admin Console, Redwire, Verizon, Apple Business Manager (ABM), Bodno, and protean.
